How to Add Work Requests

Although the Request Log window requires only a few items of information, WebTMA encourages users to provide as much detail as possible when entering a Request.

When the Request is created, WebTMA validates location information.

Look for the expand button Btn_Expand_WO_Request.png adjacent to the Action Requested, Additional Comments, and Reject/Hold Reason fields. Click the button to open a flyout and display all the text in these fields if needed.

  1. Choose Add on the WebTMA toolbar.
  2. Select the Requestor Name. The Location defaults to that of the Requestor.
  3. Accept the default Request Date and time or change if necessary.
  4. Select the Request Type.
  5. Enter additional information in the elective fields if appropriate.
  6. Input the Action Requested information. This is a free-form field used to describe the work to be done. If desired, select the Date/Time Stamp Btn_TimeStampWO.png icon next to the field to add your user name, date, and time at the top of the field.
  7. Select Save on the WebTMA toolbar.

The Request # field populates automatically when the Request is saved.

How to Accept a Request from Request Log

  1. Navigate to the Request Log window.
  2. Locate the Request.
  3. Select the Accept button below the Reject/Hold Reason field.

How to Complete the Request Validation Flyout

The Request Validation flyout opens when you follow the instructions in the previous topic, How to Accept a Request from Request Log. 

Add information to the validation window to create a Work Order for the Request.

Information from the Request populates the related fields on the flyout. When the Technician/Crew field is populated, WebTMA completes the Est. Start date field with the current date, i.e., when the conversion is made. The date is applied to the Schedule date for the Technician on the converted Work Order.

  1. Accept or change the contents of the Request Validation flyout as needed.
  2. Add or revise the Action Requested if required.
  3. Complete as many elective fields as needed.
  4. Select one of the radio buttons for a reply to the request: No Email, Automatic Email, or Manual Reply.
  5. Choose the Save button on the window when the field entries are completed.

When the window refreshes, the Request Log window displays the new Work Order number in the Work Order # field found in the Accepted Section of the Request Log window.

How to Deny a Request from Request Log

  1. Locate the Request.
  2. Enter your Reject Reason in the free-form text field. Remember to be courteous because the requestor will see your comments.
  3. Select the Reject button below the Reject/Hold Reason field.

When the window refreshes, the record has been saved and the date and user code of the person rejecting the request are displayed in the read-only fields.

How to Hold a Request from Request Log

  1. Locate the Request.
  2. Enter the Hold reason in the Reject/Hold Reason field. This text is emailed to the requestor, so remember to be polite. See caveat in the Note below.
  3. Select the Hold button below the Reject/Ignore Reason field.

Once a Request is held, the Hold button is disabled until the Request record is modified. While the record can be put on Hold more than once, this is only true if the record is changed in some way. Each time the Request is put on Hold, the text you enter in the Request/Hold Reason field is appended to the Additional Comments field.

NOTE: An email for "held" requests is sent only if the Ignored Email template is configured for your Repair Center.
