With the Grounds module, you can efficiently set up and manage grounds maintenance for your entire organization. This tool provides an easy method to take inventory and update Grounds space/item records. The module allows you to:
- Create Grounds Routes/Schedules
- Determine how many days per week your staff should be performing Grounds Tasks, and track if those standards are being met
- Perform detailed Grounds Inspections (including mobile Inspections using WebTMA GO or mobileTMA GO if you are licensed to use those optional modules)
- Maintain updated grounds spaces
- Perform labor estimates and gather FTE counts
- Create accountability for your Grounds staff, supervisors, and operation with relevant metrics and reporting capabilities
Grounds Management Details
The Grounds module is an integrated Grounds Management system that works in tandem with WebTMA. Your organization can be up and running in the least amount of time using estimated data based on APPA standards. During the inspection process, you can update Grounds space/item records while you are in the field using mobileTMA GO or WebTMA GO if you are licensed to use these modules. Your records in WebTMA will reflect this real-time data.
Using the Grounds module, you can capture all your operational costs in a single integrated database. The WebTMA database already includes the foundation for a Grounds management module with Space Inventory, Materials Management, and Personnel modules. The Grounds module includes licensed Task libraries from APPA as well.
The module recognizes the high turnover in Grounds staff and includes lists of duties in a format designed to eliminate lengthy training.
Task schedules can be inherited by Grounds type or modified for unique instances of a space to give you complete flexibility.
APPA Matrix
APPA created a grounds maintenance matrix with the release of their book Operations Guidelines for Educational Facilities: Grounds. APPA defines a matrix as a grouping of space types and tasks. The theory is that each unique space requires its own unique set of Grounds Maintenance requirements, and no two spaces are alike.
The APPA matrix standards can be imported after you install the Grounds Management module. Go to Admin > Client Info to see two options on the Action Menu:
- Grounds Base Import
- Grounds Project Import
The Grounds Base Import imports all the tasks and grounds Routine Template data. The Grounds Project Import imports the Project Template data. When you click either link, WebTMA alerts you to consult with Professional Services before importing data.
Supervisor Inspections
The Grounds module includes a complete Grounds Inspection module for supervisors. This has user-defined Inspection Forms based on the appearance of items linked to Grounds Tasks. Hard copies of the forms can be printed. Alternatively, if you purchase the mobileGrounds option, forms can be downloaded to mobileTMA GO (Technician-role login). Using this tool, supervisors can make random inspections of work completed.
If you use WebTMA GO for your Grounds Inspections, the separate mobileGrounds option is not needed.
