The Other Charge Import setup requires at least one Repair Center selected on the Repair Center Tab. The listed Repair Centers must match the Repair Center of your Work Orders.
When you select the Transaction Type, WebTMA automatically loads the required fields in the mapping grid. These lines display a red icon in the left column until the row is mapped to the remote columns in the third-party database.
WebTMA filters the column field selection to prevent duplicate selection. For example, Work Order # is not available for selection when you click the Add Column link because it is already selected. Reminder: The lines that auto-populate the grid are required.
If you use the Default 1st Record option described in Universal Interface and Default 1st Record, the record is imported; however, WebTMA writes an exception in the error column of the remote database.
The Server fields are auto-populated using the entries made to the Detail window during Universal Interface Client Service Installation.
WARNING: The fields in the Server section can be edited in WebTMA; however, this should only be done by highly qualified personnel. Changes saved here overwrite the contents of the Detail setup windows. It is preferable to make changes to the Detail setup window where you can test your connection.
How to Link Universal Interface Fields for Other Charges Import
In order to import your Other Charges, you must link WebTMA fields with fields in your Universal Interface table.
Reminder: Required fields in the mapping grid display a red icon in the left column until the row is mapped to the remote columns in the third-party database.
From your Universal Interface Setup window in Add/Edit mode:
- Complete the Required Setup fields.
- Click the Add Column link on the grid to open the Entry flyout.
- Choose your WebTMA Column.
- Select the Remote Column.
- Click Save & Add (or Save).
- Repeat until required fields and selected elective fields in your Universal Interface table have been matched up.
- Add the applicable Repair Center(s) to the Repair Center Tab.
- Click Save on the WebTMA toolbar.
Universal Interface and Default 1st Record
If more than one record can apply, mark the check box labeled Default 1st Record on the Entry flyout, and the first record associated with the record is automatically used so your source database does not need to supply the information.
When a row is processed that has an invalid value and the box is checked, WebTMA imports the row, and adds the following error message, 'Imported with error: used default value.'
Other Charge Import Required Fields
The following fields must be present in your outside database to accomplish a successful import of Other Charges to WebTMA. When you add a new Universal Interface template, these required fields are automatically added to the TMA Column. At this point, all you need to do is map them. You can also add desired Other Charge Import Elective Fields.
- Item Description – (text field)
- Quantity – (INT)
- Transaction Date – Includes both date and time
- Unit Cost – Numeric 4DP field
- Work Order # – Validated field (text field)
- Work Order Task Code – Task validated from the WO# (text field)
For Validated fields, the data must exist in the WebTMA database in order for the record to import with the field completed.
