Universal Interface for HR - WebTMA 7

The Universal Interface for HR enables organizations to interface WebTMA with many popular ERP and HR systems in the industry. The interface provides a bi-directional connection between WebTMA and other business applications using proven processes on both ends.

The interface includes the import and update of key personnel information, such as identification number, name, charge rate, shift, trade, etc.; export of time and labor from WebTMA into your business application; and the import of leave accrual into WebTMA.

The Universal Interface for HR bundles three types of Personnel records. These are:

  • HR - Leave Accrual Import

  • HR - Personnel Import

  • HR - Time and Labor Export

This interface offers the following features:

  • Improve decision-making through the availability of integrated HR data

  • Simplify your overall efforts with a pre-built, user-configurable design

  • Increase data accuracy with electronic transmittal of personnel data, time and labor, and leave accrual

  • Create user-defined templates for importing and exporting selected HR data

  • Improve efficiency by eliminating manual and duplicate data entry

HR - Leave Accrual Import

HR - Leave Accrual Import is part of the Universal Interface HR bundle. The HR - Leave Accrual Import Setup requires inclusion of at least one Repair Center on the Repair Center Tab.

When you select the Transaction Type, WebTMA automatically loads the required fields in the mapping grid. These lines display a red icon in the left column until the row is mapped to the remote columns in the third-party database.

WebTMA filters the column field selection to prevent duplicate selection. For example, Technician ID is not available for selection when you click the Add Column link because it is already selected. Reminder: The lines that auto-populate the grid are required.

Remember to add at least one Repair Center to the Repair Center Tab.

The Server fields are auto-populated using the entries made to the Detail window during Universal Interface Client Service Installation.

WARNING: The Server-related fields can be edited in WebTMA; however, this should only be done by highly qualified personnel. Changes saved here overwrite the contents of the Detail setup windows. It is preferable to make changes to the Detail setup window where you can test your connection.

How to Link Universal Interface Fields for HR - Leave Accrual Import

In order to import your Leave Accrual records, you must link WebTMA fields with fields in your Universal Interface table. By default, all required fields should already have line entries.

From your Universal Interface Setup window in Add/Edit mode:

  1. Complete the required fields.

  2. Click the Edit icon for a line to open the Entry flyout.

  3. Select the Remote Column.

  4. Click Save on the Entry flyout.

  5. Repeat until required fields and selected elective fields in your Universal Interface table have been matched up.

  6. Add the applicable Repair Center(s) to the Repair Center Tab.

  7. Click Save on the WebTMA toolbar.

HR - Leave Accrual Import Required Fields

The following fields must be present in your outside database to accomplish a successful import of Leave Accrual to WebTMA. When you add a new Universal Interface template, these required fields are automatically added to the TMA Column. At this point, all you need to do is map them.

  • Comments – Validated field (text field)
  • Date – Validated field (INT)
  • Hours – Validated field (INT)
  • Technician ID – Validated field (INT)
  • Time Type Code – Validated field (text field)

For Validated fields, the data must exist in the WebTMA database in order for the record to import with the field completed.

HR - Personnel Import

HR - Personnel Import is part of the Universal Interface HR bundle. The HR - Personnel Import Setup requires inclusion of at least one Repair Center on the Repair Center Tab.

  8. Click Save on the WebTMA toolbar.

Universal Interface HR - Personnel Import Required Fields

The following fields must be present in your outside database to accomplish a successful import of Personnel to WebTMA. When you add a new Universal Interface template, these required fields are automatically added to the TMA Column. At this point, all you need to do is map them. You can also add any elective fields.

  • Charge Rate – Validated field (text field)
  • First Name – Validated field (text field)
  • Last Name – Validated field (text field)
  • Repair Center Code – Validated field (text field)
  • Shift Code – Validated field (text field)
  • Technician ID – Validated field (text field)
  • Trade Code – Validated field (text field)

For Validated fields, the data must exist in the WebTMA database in order for the record to import with the field completed.

HR - Time and Labor Export

HR - Time and Labor Export is part of the Universal Interface HR bundle. Select the HR - Time and Labor Export Transaction Type to export records using the Universal Interface framework. You have a choice of export Connection Types: Comma Delimited Text File, Microsoft SQL Server, Oracle, or Tab Delimited Text File.

The entry in the Export Query field is used only to determine the records to be exported. Select an existing Browse Query to serve as the Export Query. The selected Export Query has no impact on the data columns that are used in the export process.

ALERT: Each record can be exported only once. Even if you use a new WebTMA Universal Interface setup, when HR - Time and Labor has been exported previously using the Universal Interface function, it will not export a second time.

Once a record has been exported, the xx_uiExport boolean field is updated with a value of 'true'. Records with a true xx_uiExport value are excluded from the export query to prevent duplicate data from being exported.

Be sure to select a folder so an error log can be generated.

The WebTMA Integration Client Service Configuration (Stand-alone windows application) Service includes fields to support exporting records.

Remember to add at least one Repair Center to the Repair Center Tab.

When lines are exported, WebTMA marks the read-only Universal Interface Export check box found on the Modification History popup of the related record. This popup is opened when you click the Last Modified link on the Action Menu. The Universal Interface Export field is available in the Report Writer. . JPINO there is a defect about the Export options missing from windows like Purchase Requisitions. Not sure yet.
