Quick Post Other Charges - WebTMA 7

Path: Transactions > Quick Post > Quick Post Other Charges

Use this window to post other costs to a number of Work Orders without opening each one individually.

By default, the No Charge check box is unchecked to indicate the costs are chargeable; however, if the costs for the Work Order are not chargeable, be sure to mark it.

Remember to select Save on the WebTMA toolbar every few records. Until saved, data entered is not stored in the database.

Quick Post Other Charges Details

You have an option to link maintenance-worthy items to the charge line. In addition, the Unit field supports rentals for these items or manually entered data. If an item and unit are selected, the corresponding rental rate auto-populates the Unit Cost field.

The Charge Type Desc field is not required; however, it is available if you distinguish among different Types established in Organization > Lookups / Other Charge Types.

Use the Inventory Date field to record the date the item was charged. This field can also be included in Report Writer reports.

If you use Rate Schedules, the Quick Post Other Charge window grid includes a Charge column and an icon if a rate schedule is applied. A tool tip indicates whether the rate schedule is derived from the hierarchy or manual entry.

When Work Orders with open distributions are closed from the Quick Post Other Charges window, you might receive notices alerting you to the fact that the Work Order has open distribution lines and be directed to more alerts based on the settings your WebTMA System Administrator has made.

How to Quick Post Other Charges

Posting to this window is the same as posting to the Work Order / Costs–Other Charge section. The Quick Post Other Charges window opens with the Quick Post Other Charge Entry flyout ready for data.

  1. Type or select the Work Order #, and the Task field complete automatically.
  2. Select the item category (Equipment, etc.) and Tag #.
  3. Type the Quantity of the item used.
  4. Type the Unit Cost.
  5. Accept or select the Date of Work (date work was performed).
  6. Complete elective fields as needed.
  7. Click the Save & Add button to add a line item to the grid.

Note: The elective Unit field shows rental span selections. These selections relate to maintenance-worthy items if any are entered in the elective Item Tag field.

After you add a few records, choose Save and Close on the flyout to view the line items. You can edit or delete line items until you select Save on the toolbar. Once you save the records, WebTMA writes the information to the database and clears lines from the window. Choose the link at the top of the grid to re-open the entry flyout and continue adding line items.
