Path: Transactions > Request > Batch Validation
The Batch Validation function is used to locate specific types of Requests. Authorized users can then accept (Validate), Reject, Hold, or take other actions for selected Requests. You can search for Requests by date range, Repair Center, or other filtering options.
How to Select Batch Validation Criteria
The Browse Query flyout opens when you launch the module, or you can create a new query. Set your search criteria on this flyout to generate a browse list.
- Go to Transactions > Request > Batch Validation.
- Create a query.
- Select the List Results button on the window to start the search and close the Browse Query flyout.
When the search is complete, the records that match your criteria are displayed in the Batch Validation window.
Request Batch Validation Window
Once you have list results, mark any lines in this window to accept (Validate), convert to a project (Convert To Project), deny (Reject), or hold (Hold) requests. If you use the optional Capital Planning module, you can also Convert to Audit.
Other buttons on the window include:
- Remove Selected Select to remove line items from view without taking any action. The Requests show up again if you generate another Batch Validation list.
- Export All Select to send the list to a spreadsheet.
- Batch Print Select to print selected lines that have been converted to Work Orders.
The basic instructions in the following topics on how to accept, deny, or hold work Requests apply to either Work Orders or Projects. The only difference is that the Request Validation flyout reflects the appropriate Work Order or Project fields. The grid on the page includes a column for Project # that is populated after the Request is converted to a Project.
How to Accept Multiple Work Requests
- Generate a list using steps in How to Select Batch Validation Criteria.
- Mark the check box for each line item to be accepted.
- Choose the Validate button.
- Select the required information. Information for each line is recorded on the underlying window, and the Request Validation flyout remains open with data from the next line.
- Continue to complete the Request Validation flyout for each line item.
- Choose the Cancel button to close the Request Validation flyout.
Notice the additional Reject button on the Request Validation flyout. If you select this button, you can reject the Request here as well.
A green icon in the second column indicates accepted line items.
How to Deny Multiple Work Requests
- Generate a list using steps in How to Select Batch Validation Criteria above.
- Mark the check box for each line item to be rejected.
- Choose the Reject button.
- Select the desired email radio button.
- Enter the Reject/Hold Reason on the Reject/Hold Reason flyout.
- Select the Save button on the flyout.
When the window refreshes, a red icon in the second column shows the line items you have rejected.
How to Ignore Multiple Work Requests
- Generate a list using steps in How to Select Batch Validation Criteria above.
- Mark the check box for each line item to be held.
- Choose the Hold button.
- Select the desired email radio button.
- Enter the Reject/Hold Reason on the Reject/Hold Reason flyout.
- Select the Save button on the flyout.
When the window refreshes, a yellow icon in the second column shows the line items you have decided to Hold.
