The Action Menu section of the Navigation Panel is a key part of using WebTMA. Each time you open a different module, the contents of the Action Menu changes. Links on the menu allow you to perform additional actions related to the record. While the list is not in alphabetical order by default, your WebTMA System Administrator can sort the items for any window. For example, the Work Order window can have a very long list where an alphabetical arrangement is useful.
Some windows, such as Work Order, Parts, and Purchase Order, have numerous links. Other windows may have only one or two links.
Most links on the Action Menu open a flyout where you can review or add information. A few simply perform the action described. Depending on the type of link, many are enabled in View mode. Others are enabled in Edit mode.
The next topics describe links you see frequently.
Authorize
The Authorize link is used to approve a record and allow the action to be taken. Frequently, a record will display on the interface. If so, select the Authorization link to open the Authorization flyout to enter the appropriate information.
Regardless of the approval system used, your WebTMA System Administrator sets up the requirements. The link is found on the Action Menu of many windows such as Work Order, Estimate, and Purchase Requisitions/Orders.
Create Renewal Program
Related to the optional Capital Planning module, the Create Renewal Program link opens the Renewal Programs window. When a Renewal Programs record is created for the item, the item record displays this Cyclic Renewal icon near the Active check box. The link is available on the Equipment, Biomed, and Asset windows.
Create WO
The Create WO link appears on the Action Menu for item and space-related windows such as Areas, Tools, Buildings, and Equipment. The link is enabled in View mode.
- Open the desired item or space-related record.
- Click the Create WO link.
WebTMA opens the Work Order in a separate browser window in Add mode with information from the item or space record ready for you to complete other fields on the window and save the new Work Order.
Dispose
Click the Dispose link on the Action Menu to open the Disposal window (Transactions > Disposal > Records) in a separate browser tab to record and save details about removal and disposition of an item.
The Dispose link is found in the following windows: Asset, Biomed, Entity, Equipment, IT Equipment, Tools, and Vehicles.
Estimates
Select the Estimates link as a quick way to open the Estimates window.
If the Estimates Required option has been chosen for the Repair Center assigned to Work Orders, an Estimate must be completed before Work Orders can be printed.
Export Template
Choose the Export Template link to create a template with the proper Headings and Subtab name for item data you wish to import. The spreadsheet Subtab name assigned by WebTMA is required for a successful import.
The Microsoft Excel spreadsheet (.xlsx file extension) includes example information about the current record for your reference. Use the spreadsheet to add any new maintenance item records and then import them using Organization > Maintenance Item Batch Import.
The Export Template link is found on the Action Menu of the following windows: Equipment, Asset, Entity, Tool, Vehicle, Biomed, Linear Asset, and IT Equipment. Note that the last two items are optional modules in WebTMA.
Groups
Select the Groups link on the Action Menu to see if the item is associated with a Group. The link opens the Associated Group flyout window with a list showing the Group Tag #, Description, Added Date, and Deleted Date.
Keys
If your organization uses the optional Keys module, the Keys link on the Action Menu opens a flyout to display the Key Number and Key Description of any keys that are associated with the maintenance-worthy item.
Manual Routing
The Manual Routing link is enabled when your organization uses the optional Approval Routing module. Using the link follows the same principles as regular Authorization Routes to send an eligible record for approval.
Manual routing creates a route on-the-fly from a single record and only applies to that record. Click the Add Authorizer link on the Manual Routing flyout to select the routing Order and User Name. If preferred, you can click the Select an existing route link on the Manual Routing flyout to apply an existing route and authorizers. In either case, the route is only applied to the record that is open.
The Manual Routing link is found on the following windows: Change Orders, Estimates, Events, Material Requests, PO Change Order, Project, Project Requisitions, Purchase Order, Purchase Requisition, Request Log, and Work Order.
Post Down Time
When an item is taken out of service or restored to service, the Post Down Time link on the Action Menu opens a flyout where you can add the Down Time date and the Up Time date. Once the Up Time date is added, WebTMA calculates the Total Down Time. On the Down Time flyout, line items can be deleted using the Trash Can icon if a line was entered incorrectly.
Show Audit History
The Show Audit History link opens the Audit History flyout. When values in a field have been changed, the initial view on the flyout shows the modification Date, User, and Transaction Type. Expand a line to open a second tier for more details.
The second tier fields show:
- Field Name
- Old Value
- New Value
- Record Type
Tracking
The Tracking link opens the Status Tracking flyout. Use Status Tracking to add or review changes in the status of the related Work Order, Project, Purchase Order, Equipment, and similar windows.
Windows with a Status field have the Tracking link. Any time a status is changed on the record it is also visible on the Status Tracking flyout.
You also have the option to select the Add Status Entry link on the Status Tracking flyout to open the Add Status flyout and insert your own status line.
Transfer History
The Transfer History link on the Action Menu opens the Transfer History flyout with line item details about transfers made using the standard Transfer window for maintenance-worthy items.
View Events
If you use the optional Events module, select the View Events link to review a list of all Events that fall within a specified date range. When you choose the link, WebTMA opens a flyout that accepts entry of start and end dates.
Once you enter the dates and select the View Events button on the flyout, WebTMA returns a list of all events where the start date or the end date is within the range. Select a line item to open the Events record in another window.
