Path: Menu > Work Order > QP Labor
The QP Labor window is used to add hours for both direct and indirect (training, etc.) work. The QP Labor window can be opened from the menu path shown above or from the Task Tab of the Work Order window.
QP Labor Actions
When labor hours have been saved for Work Orders within the past 24 hours, a list of these Work Orders is visible on the Labor window, that is, the first window that opens when you follow the menu path above.
When hours are recorded from the Work Order (if the labor record is correct), the record is uploaded as soon as it is saved as long as you have a WiFi or cellular connection.
Similar to other List windows, you can tap the Option chevron on the Labor window and configure the sort and other information you want to display on the window.
If you use WebTMA Plus, your WebTMA System Administrator has the option to make settings that allow available Time Types to be filtered by Work Groups when you add Labor.
NOTE: If all checks must be made before closing or finishing a Work Order (set from the main application) and some or all of the checks have not been marked, the Finish Task and Close Task check boxes are disabled (dimmed).
QP Labor Details
If you need to post labor for a Technician who is different from the one logged in, tap the Tech selection arrow to select from a list of Technicians.
If the labor is not chargeable, scroll down to mark the No Chg check box. For chargeable work, mobileTMA GO populates the Acct # field with the Technician’s account. If the field is not populated, the information is added to the record on the server after you save the record in mobileTMA GO.
On the server, WebTMA first looks to the Shop related to the Trade used on the WO and takes the account number found in the Labor Account field on the Shop record. If this Shop does not have a Labor Account, WebTMA looks to the Task for the Work Order and uses the account number linked to the Trade for the Task. This account auto-selection occurs on the WebTMA server when no account is provided on the device.
If you want to close a Technician's scheduled task line, scroll down and tap the Close Schedule check box. This does not close or finish the Task or the Work Order. It merely saves the Work Order from the device without closing the Task or the Work Order. Use this feature in cases where more than one Technician is assigned to the same Task. If Technician A completes a portion of the Task, Technician B may be required to perform additional work before the entire Task is completed.
The Work Order and associated Task will remain on the device for 24 hours once saved.
Technicians can also enter text in the Comment field at the bottom of the window. These are saved to the labor line rather than to the Comments for the Work Order and are not the same as regular Tech Comments.
How to Post Labor
Follow the menu path to the Labor window, and tap the Add icon at the upper right of the window. This opens the QP Labor window where you can record hours spent on a particular job. Typically, several required fields are completed when the window opens. To add a record:
-
Tap the Add icon
-
Select the WO #.
-
Select or verify the Task, Trade, Time Type.
-
Enter the Hours spent on the job.
-
(Optional) Tap in the Acct # field to add a number*.
-
(Optional) Tap the Close Schedule check box.
-
(Optional) Tap the Close Task check box if all work is completed for this Task.
-
Tap Save at the upper right of the window.
Information posted to these windows is transferred to WebTMA when the record is saved providing you have an active connection.
* If provided, this must be a valid account in WebTMA. When no account is added, WebTMA supplies the default from the hierarchical rules when the record is saved to the database.
Rules for Closing Work Orders
Reminder: This information applies to the QP Labor window when you open it from the menu. When opened from the Work Order / Task window, the Close Task and Finish Task check boxes are not visible.
Technicians are not required to close their schedule line or a Work Order when they enter their time. If a they are authorized to close Work Orders, they can do this from the QP Labor window. If there are no other Tasks to complete, the Work Order is closed in WebTMA.
Even if the Work Order is marked Closed, Technicians can enter Parts and Other Charges using Work Order > QP Parts or Work Order > QP Other until the line is deleted from the device. To post Labor, Parts, or Other items to a closed Work Order, the Technician must have been granted permission by the WebTMA system administrator from Admin > Records > User Management / Preferences Tab–Privileges Section.
If your organization uses the Client Info / Preferences–Materials Management option to Allow Distributions to Completed Work Order, the topic Work Orders with Open Distributions in mobileTMA GO for iOS describes how this is handled. When the option is used, existing purchase distributions can remain open on closed Work Orders.
If a Work Order is downloaded to the handheld device and later closed from WebTMA, how it is handled depends on the Technician's access granted in WebTMA.
-
If the Technician does not have permission to modify closed Work Orders, the Technician is alerted that the change cannot be uploaded, and the line is not removed from the handheld device. The Technician must delete it by swiping left and tapping the Delete button.
-
The setting to grant permission is Allow Modification to Closed Work Orders and is found in WebTMA on the Admin > Records > User Management / Preferences Tab–Privileges Section. If this permission is granted, Technicians can upload current lines on the closed Work Order.
-
If the Technician has privileges to modify closed Work Orders, the changes made on the handheld device are uploaded to WebTMA and replace the data on the server.
NOTE: If Technicians complete a job for a Work Order that cannot be closed pending other actions, they can tap the Finished check box on the Work Order Task window.
How to Post Training Module Hours
If your organization uses the optional Training module, Technicians can log their training hours from the QP Labor window. Once the Trainee Time Type is selected, the WO # and Task fields are no longer required. See note below about Trainer and Trainee Time Types.
-
Tap the Add icon
-
Select the Time Type as Trainee Time Type.
-
Enter the Hours spent in training.
-
Scroll down the window to the Class field.
-
Select the Class.
-
Tap the Save button at the upper right of the window.
NOTE: In the main application, the System Administrator designates particular Lookups > Time Types as Trainer and Trainee.
