Path: Material > Tools > Records / Identity
This function is used to:
- record detailed information about each tool
- check out tools and return them
- view any parts related to the tool
- create work orders to repair tool
- review work orders where the tool is used
- review a tool PM schedule
- review cost data about the tool
Most of the Tabs on this window are used by many functions in WebTMA. An explanation of these shared Tabs is found in the separate Help > Help Page > Common Functions document.
Tools may require special reminders when generating work orders or requests for the tool. Use the optional Popup Message Subtab to add a short (255 character) message that displays when the Tool is selected on Work Order or Request windows.
The Rates Tab is used if your organization has the optional Facility Scheduler module.
How to Add Tool Records
Path: Material > Tools > Records / Identity Tab
From the Tools / Identity Tab:
- Click Add on the WebTMA toolbar.
- Enter a Tag # that helps you identify the tool easily.
- Type a Description to help identify the tool.
- Type or select the Facility.
- Select the Type. Types are established by the WebTMA System Administrator.
- Complete as many of the elective fields as appropriate.
- Click the Repair Centers Tab and select the applicable repair centers.
- Click Save on the WebTMA toolbar to save the record.
How to Create a Tool Work Order
Path: Material > Tools > Records / Identity Tab
If a tool needs repair, you can create a work order from the tool record.
- Open the tool record for the item to be repaired.
- Click the Create WO link on the Action Menu to open the Work Order window in Add mode. The tool information is entered for you.
- Add the desired Task, Priority, and any other information needed.
- Click Save on the WebTMA toolbar.
How to Check Out Tools
Path: Material > Tools > Records / Checkout Tab
On the tool record:
- Click the Checkout Tab.
- Click Edit on the WebTMA toolbar.
- Click the Add Item link. See the note below for checked out tools.
- Complete the required fields on the Tool Checkout popup window (Technician, Current Job, Time Out and time, and Time Due).
- Click the Save button on the popup window.
- Click Save on the WebTMA toolbar.
NOTE: If the tool is currently checked out, a reminder alerts you, and the popup window does not open. Follow the instructions in How to Check In Tools. Tools and other maintenance-worthy items can also be checked out from the Technician window (Organization > Repair Center > Technician / Checkout Tab).
How to Check In Tools
Path: Material > Tools > Records / Checkout Tab
On the tool record:
- Click the Checkout Tab.
- Click Edit on the WebTMA toolbar.
- Click the pencil icon to edit the check out line.
- Add the Time In (date and time).
- Click the Save button on the popup window.
- Click Save on the WebTMA toolbar.
NOTE: Tools and other maintenance-worthy items can also be checked in from the Technician window (Organization > Repair Center > Technician / Checkout Tab).
Tool Transfer
Path: Material > Tools > Tool Transfer / Identity Tab
If a tool is moved from one location to another, you can use the Tool Transfer window to change the Location ID. This is an easier way to move tool items than opening each tool record.
Tool records cannot be transferred if the record is marked inactive.
- Click Add on the WebTMA toolbar.
- Type or select the Technician ID.
- Type the Facility/Site or Location ID in the Current Location section.
- Click the Search button on the window to view a list of all matching items for the location.
- Select the items you wish to transfer from this list.
- Type the new Facility/Site or Location ID in the New Location section.
- Click Save on the WebTMA toolbar to save the record.
When the window refreshes, the window shows the New Location and the items that were transferred as well as the Transfer Number.
