How to Add a Part Record with No Items in Stock
Path: Material > Parts > Records / Identity Tab
To add stocked parts records for items that do not have existing inventory:
- Open the Part window.
- Click Add on the WebTMA toolbar.
- Complete the required fields and as many other fields as possible.
Tip: For better search results, start the Description field with a general category followed by more specific descriptors, for example, Conduit, ¾" EMT.
- Click Save on the WebTMA toolbar to save the record.
How to Add a Part Record with Existing Stock
Path: Material > Parts > Records / Identity Tab
- Create a new part (but do not Save).
- Type an Average Price to enable the Location Tab.
- Click the Location Tab.
- Click the Add Warehouse link at the top of the grid to open the Location Entry window.
- Complete the required fields.
- Type the Available quantity.
- (Optional) Click to mark the Critical check box if this is a part you must keep on hand at all times.
- Complete other elective fields if available.
- Click the Save button on the popup window.
- Click Save on the WebTMA toolbar.
NOTE: Once a quantity is added for a line item, additional quantities for that Warehouse are adjusted through the On-Hand Adjustments window and cannot be changed from the Parts / Locations window. However, click the Edit icon to change data in fields such as Minimum, Maximum, Bin Location, Vendor, and Reorder Quantity. If you add a new Warehouse to the Locations Tab, you can add a quantity of parts available at the same time.
How to Transfer Parts
Path: Material > Part > Transfer Parts
The Transfer Parts window includes fields to accommodate charging the transaction.
- Click Add on the WebTMA toolbar.
- Select a Date and the Technician ID.
- Select the Curr WH Code (the warehouse from which the part is transferred).
- Select the New WH Code (the code of the warehouse to which the part is transferred).
- Select a Repair Center Code.
- Complete elective fields as needed.
- Click the Add Item or Add Items link at the top of the grid to open the Transfer Entry window. The Add Items link lets you select several items for transfer at one time.
- Select the part Code.
- Type the Quantity, i.e., the number of item units being transferred.
- (Optional) Type the Bin Location for the New Warehouse.
- Click the Save button on the popup
- Click Save on the WebTMA toolbar.
The Batch # (transfer number) is assigned when the record is saved.
Part transfers can be reviewed using the Find, Previous, or Next buttons on the WebTMA toolbar if one or more Repair Centers on the logged-in user's record match a Repair Center for both the Current and New Warehouses.
Look to the read-only Post Date field to verify if charged part transfers have been posted.
Inventory changes are visible in On-hand Adjustments. They are shown as a positive adjustment to the to warehouse and a negative adjustment to the from warehouse.
How to Create a Warehouse Record
Path: Material > Warehouses / Identity Tab
Since most of the labels on the Warehouse / Identity Tab are straightforward, creating a record is easy.
- Open the window.
- Click Add on the WebTMA toolbar
- Complete the highlighted required fields and as many elective fields as possible.
- Click Save on the WebTMA toolbar.
