How to Define UFI Segments
Path: Accounting > Universal Financial > Segment
The following instructions are repeated for each Segment line on the window. WebTMA can accommodate as many as nine Segments.
- Click the Edit on the WebTMA toolbar.
- Type the Segment Count. This represents the number of segments you plan to use, and the grid reflects the number of lines plus a total.
- Type a Segment Separator in the next field. This is the character used to separate each segment such as a hyphen ( - ) or a semicolon ( ; ).
- Click the Edit (pencil) icon on the first line to open the popup UFI Segment Entry.
- Replace the Segment Name with a description of the segment (maximum of 25 characters).
- (Optional) Enter the Max Length of the identified segment including spaces.
- Type the Validation Statement used to validate account data for your outside financial application accounts.
- (Optional) Click the Test button on the popup to test the statement validity.
- Click the Save button on the window to save the changes.
- Click Save on the WebTMA toolbar.
Note: By default, there is one more line than the number in the Segment Count field. Once the record is saved, the last line item defaults to Full Accounting Unit. The Validation Segment field on this line should be completed to validate the combination of all segments. This is used to be sure the combination of all segments also passes. The FAU statement checks that either the data can be assembled or that the whole account is still valid.
How to Determine UFI Template Assignment
Path: Accounting > Universal Financial > Template Assignment
Use these instructions to associate a template with a functional module in WebTMA that is used with account charges. You can save to a file or insert directly in an accounting application table.
- Click the Subtab of the module to be set up with a template. Note: The path is set in the UFI Web Service Configuration file, and only one path is available. Subtabs that pertain to modules you have purchased are available. For example, if Material Management has not been purchased, the Sales Order Tab is hidden.
- Select the Template Code from the list of available Templates.
- Click a radio button, either Save As File or Insert in Table radio button.
Save As File requires the File Type. This is the file format the template should be saved in, i.e., Fixed Length or Tab Delimited. See the next topic for details about the File Name Format field.
Insert In Table requires an Insert Statement.
When a post charge is run, it saves the file to the directory specified in the Config file of the UFI Service.
If you use an Encumbrance template, some existing columns may not apply to encumbered charges. These inapplicable columns will return an empty string but will not cause errors.
How to Set Up a UFI Template
Path: Universal Financial > UFI Template Setup
This window is used to determine the position and characteristics of columns for identified templates.
The following instructions apply to the Header or Line Items Subtab. Remember to set up entries on both Subtabs. Reminder: For Date columns, be sure to edit the selection.
- Click Add on the WebTMA Toolbar.
- Enter the Code - up to 10 alphanumeric characters to identify the Template.
- (Optional) Enter the Ledger Group - up to 10 alphanumeric characters to assign a name associated with this Template.
- Click the Add Column link to open the Column Entry popup window. The selections on the Column Entry window derive from segments you have created previously.
- Check the columns desired.
- Click the Add Selected button before closing the popup.
- Click the Edit (pencil) icon for each line item to change or add values.
- Click Save on the WebTMA toolbar.
NOTE: If you include Constant, WebTMA exports any values that are in the Default column on the template.
How to Edit UFI Template Lines
Path: Accounting > Universal Financial > UFI Template Setup
Add or change the Sequence, Length, Value and Default values in Edit mode after you have selected and saved the template line items.
- Click Edit on the WebTMA toolbar.
- Click the pencil icon of the desired line.
- Make changes in the fields that open below the line.
- Click the Update link below the fields.
- Click Save on the WebTMA toolbar.
