An inspection sheet is opened from the Work Order window. The sheet can have many sections, items, and checks.
If comments are selected on the original Inspection Form > Layout Tab, a Comments field is available. Click Submit Query below the field to expand it. In addition to line item comments, you can add a global comment.
Use the vertical scroll bar to review the sections, items, and checks of a long inspection sheet while keeping the Global Comment field in view.
When you mark a check as failed, the Corrective Work Order window opens automatically. Complete the required information, and click OK to save. If the person is logged in as a technician, he or she can mark the Assign to myself check box. This only applies to a technician login. Regular WebTMA users do not see the check box.
If you mark a Pass or Fail radio button by mistake, you can click the N/A check box to clear the Pass/Fail. However, this only applies if you have not created a corrective work order for a Fail. Once the radio button is cleared, click the N/A check box once more to clear it and make another selection if needed.
Click the Check Out button to put the sheet in Edit mode. If you plan to exit the Inspection Sheet without checking it in, be sure to click the Save button. Data is saved when you click Check In, but the Save action will save your changes if you do not check in the sheet.
How to Print Inspection Sheets from Single Task WO
Path: Transactions > Records > Work Order > Single Task WO / Identity Tab
- Open the applicable work order.
- Click the Inspection link on the Task Info
- Click the Print button for a hard copy of the printout form format selected on the Inspection Form window.
How to Print Inspection Sheets from Multi-Task WO
Path: Transactions > Records > Work Order / Identity Tab
Open the inspection sheet for a work order from the Task grid on the Work Order / Identity Tab.
- Open the applicable work order.
- Scroll across the Task grid to the Inspection?
- Click in the grid to open the inspection sheet.
- Click the Print button for a hard copy of the printout form format selected on the Inspection Form
How to Make Electronic Inspections
Path: Transactions > Records > Work Order / Identity Tab
When you enter inspection results on a computer:
- Open the applicable work order.
- Open the Inspection Sheet. See previous topics about printing Single Task and Multi-Task Work Orders for information about opening the Task Sheet.
- Click the Check Out This grants the user exclusive use of the inspection sheet.
- Mark the results on the computer.
- Type any Comments or Global Comments.
- Click the Check In button to release the inspection sheet.
Note: If two or more technicians are scheduled to a multi-task work order, a task generates for each person. However, each task on the work order links to the same inspection sheet. This makes Check In critical if more than one technician is assigned to the work order since other technicians are prevented from opening a checked out inspection sheet.
Failed Inspections
Your organization's procedures determine whether the inspection data is entered from a hard copy or directly to a computer. Regardless of who completes the information on the computer, a general user or a technician, the same results occur.
When an item is marked as failed, WebTMA immediately opens a Corrective Work Order window. If the person is logged in as a technician, he or she can mark the Assign to myself check box. This only applies to a technician login. Regular WebTMA users do not see the check box.
After the new work order is saved, the Reference # field on the Identity Tab reflects the original work order number.
How to Handle Failed Inspection Checks
By default, the values for Work Order Type and Sub Type fields for the inspection task are populated on the Corrective Work Order window.
- Click the Fail radio button on the inspection sheet.
- Complete the Corrective Work Order window that opens automatically.
- Complete any required fields or change the defaults.
- Complete any elective fields that are needed.
- Add the Action Requested.
- Click the OK button on the window.
At times, technicians may make needed repairs when they observe a failure. In that case, they can include the Finish Date and Corrective Action taken on the Corrective Work Order window before saving the file. If the person is logged in as a technician, he or she can mark the Assign to myself check box. This only applies to a technician login. Regular WebTMA users do not see the check box.
If the work is extensive, make as many notes as possible about the Action Requested and save. Work orders created with this method are assigned to technicians using the same processes as any other work order assignment in your organization.
The new work order looks just like any other, but it includes the action requested and a reference number to the previous inspection work order.
