You can use the Labor Estimate window to estimate the amount of labor required for a given criteria selection.

The Custodial Labor Estimate Query window options include District, Facility, Building, and Template Type.

When you select your criteria and click the Get Estimate button, you can view results on five Subtabs:

  • Total
  • Facility
  • Building
  • Building Type
  • Template

In addition to the total weekly hours, the system provides separate Projected Hours for Cleanliness Level 1 through Level 5 as well as Projected Hours for each level route. See the next topic, Custodial Labor Estimate Filters, for more information about viewing the results.

Custodial Labor Estimate Filters

After you click the Get Estimate button on the Custodial Labor Estimate Query window, the results display on the Custodial Labor Estimate window.

Each Subtab on this window includes five filter links at the upper right of the grid. Click a link to change your view of the values in the grid. At any time, you can look at the first column as a reminder of the type of data being viewed.

Show Combined Totals is the default view. It reflects both Routine and Project data.

Show Routine Totals displays only Routine data.

Show Project Totals lists Project Only data.

Show Projections includes additional columns in the grid. Scroll across to see numerous Projected columns. The projected data shown is based on the last Data Type totals you viewed. For example, click Show Routine Totals and then click Show Projections to see projections for Routine data only.

Hide Projections provides a way to conceal the projection columns when not needed.

Custodial Labor Estimate Field Definitions

The columns for each of the Subtabs have the same field headings such as Area Count, Area SF, and Applied Weekly Hours. The following definitions will help you understand your results regardless of the Subtab selected.

Area Count. Area Count is the count of all areas that are linked to a Custodial Template. Whether the area is assigned to a route is not considered. The Area Route Count field lists the count of areas that are linked to a route.

Rules:

  • The associated facility must be active
  • The associated building must be active
  • The associated template must be active

Area SF. Area SF is the sum of the Square Footage value found on the Area records of the Area Count. All the rules for the Area Count apply to this value as well.

Applied Weekly Hours. The value in this field is based on the filter option selected. Depending on your selection, it is one of three:

  • Routine Hours
  • Project Hours
  • Routine + Project Hours

The calculation is: Template Minutes * Area Count

Template Minutes are the number of minutes required to clean the average room to the default level of cleanliness. It does not consider the Actual Square Footage of individual rooms. This is merely the average room size times the number of rooms you have. Be sure to ensure that the average size used on the Template is the actual average size of your rooms. The Custodial module includes the tools you need to do this.

Applied Weekly FTE. The value in the field shows the number of full-time employees required to perform the task. This value takes the Applied Weekly Hours defined above and divides by 40 (hours per week) or the value you have set for full-time employees.

Applied Cost. The value equals the cost per week to perform the tasks. It is calculated by multiplying the Applied Weekly Hours by the value you have set as your average hourly rate for custodians.

Cost/SF. This field is calculated by dividing the Applied Cost field value by the Area SF (both defined above).

Projected fields. The values calculated for these fields are theoretical values based on whether you set cleanliness Levels to 1, 2, 3, 4, or 5. This allows you to see the time and cost differences if you were to switch to a higher or lower cleanliness standard.

Route Count. This is like the Area Count field, except it only counts Areas that belong to at least one Custodial Route.

Applied Projected Hours (Route). This field contains the work route; therefore, it only counts areas that belong to a Custodial Route. This is very much like Applied Weekly Hours (defined above) but only counts Areas that belong to a custodian’s route schedule.

Applied Project FTE (Route). Like the Applied Weekly FTE (defined above), this field shows projected full-time employee requirements; however, it only considers Areas that are linked to at least one Route. Where the Applied Weekly FTE considers all Areas that are linked to a Custodial Template, the Applied Projected FTE (Route) only considers Areas that are linked to a Custodial Template and assigned to a Custodial Route.

The Organization > Area / Custodial Info Tab contains the square footage. If the field on this Tab is empty (null), WebTMA uses the default quantity, which is derived from the Template data.

Custodial Labor Estimate Total Subtab

The values on the Total Subtab apply to all the results for the criteria you selected on the previous Custodial Labor Estimate Query window. The label FTE indicates Full Time Employees.

Use the filters at the upper right of the grid to filter the data to suit your needs.

Custodial Labor Estimate Facility Subtab

The values on the Facility Subtab apply to all the results for the Facilities that were included in criteria you selected on the previous Custodial Labor Estimate Query window. The acronym FTE indicates Full Time Employees.

Use the filters at the upper right of the grid to filter the data to suit your needs.

Custodial Labor Estimate Building Subtab

The values on the Building Subtab apply to all the results for the Buildings that were included in criteria you selected on the previous Custodial Labor Estimate Query window. The acronym FTE indicates Full Time Employees.

Use the filters at the upper right of the grid to filter the data to suit your needs.

Custodial Labor Estimate Building Type Subtab

The values on the Building Type Subtab apply to all the results for the Building Types of the buildings you selected on the previous Custodial Labor Estimate Query window. The acronym FTE indicates Full Time Employees.

Use the filters at the upper right of the grid to filter the data to suit your needs.

Custodial Labor Estimate Template Subtab

The values on the Template Subtab apply to all the results for the templates that were included in criteria you selected on the previous Custodial Labor Estimate Query window. The label FTE indicates Full Time Employees.
