Custodial Inspection Form -WebTMA 5

The Custodial Inspection Form window is the template that sets parameters before you generate a Custodial Inspection. Rather than having to manually create inspections, the Batch Management module in WebTMA is used to automatically generate inspections, similar to generating PMs. For information about how to generate inspections, see Custodial Inspection Generation on page 20.

If you use the WebTMA Request module and want the option to submit requests for specific inspection points, include a Request Type. This is an optional field. After the actual inspection is saved, you can go to the Custodial Inspection window and submit requests from lines in the grid. Only inspections based on a form that includes a Request Type are eligible.

The Custodial Inspection Form includes options to determine the routes to be examined.

Use the Custodial Inspection Form window to select a set of routes to be inspected based on regular inspection routes. You can inspect each area or a random set of areas within the selected routine assignment.

If you insert a number in the Random % field, the system will select a random number of areas within the selected route based on the quantity you determine. For example, if you choose the number 10, the system will select 1 out of every 10 areas at random. The system does not select every tenth area because that would be defined as planned selections rather than random selections.

Mark the Weighted check box to influence random areas in favor of areas that have not yet been inspected, i.e., to give priority to uninspected areas.

Enter a value in the Int/Freq fields to define how often a Custodial Inspection is made using this record, such as 1 week.

A list of items displays on the supervisor's checklist. If you purchase the mobileCustodial option, you can download the inspections list to a mobileTMA GO (Technician-role login). The mobileCustodial windows offer a number of filters to help locate the desired checklist.

Note that if you use WebTMA GO for your Custodial Inspections, the separate mobileCustodial option is not required to make inspections.

In addition, use the Custodial Inspection Form window to select the eligible Repair Centers and the Ratings that can be applied to an Inspection.

Areas to Always Inspect Subtab

Path: Transactions > Custodial > Custodial Inspection Form / Identity Tab–Areas to Always Inspect Subtab

These are the areas that must be inspected. They can be for any Area and are not limited to a particular Route.

Rating Tab

Path: Transactions > Custodial > Custodial Inspection Form / Rating Tab

Ratings are added to WebTMA from Lookups / Custodial Inspection Rating. When selected on the Rating Tab, they apply to the whole form. Codes are selected when you make inspections.

Your WebTMA System Administrator needs to create these in Organization > Lookups / Custodial Inspection Rating. These may be the five levels defined by APPA or your own custom ratings.

Inspector Tab

Path: Transactions > Custodial > Custodial Inspection Form / Inspector Tab

Add a list of inspectors that are assigned to the inspections when they are generated from a batch job. The inspection displays on the inspector's handheld device if you use the mobileCustodial option.

Custodial Inspection Generation

Path: Admin > Batch Management

Use the Custodial Inspection Generation option on the Batch Management window to produce Custodial Inspections. When the batch job service finds this type of job, it looks at the Custodial Inspection Forms and determines if any should auto-generate a new Custodial Inspection.

In order for a Custodial Inspection to auto-generate, the following criteria must be met on the Custodial Inspection Form:

  • Inspection record is active
  • Int / Freq fields are populated
  • Next Date field is populated
  • Default (Preferred) Repair Center is populated
  • Inspection Type field is populated

In addition, the current date (today's) must be equal to or greater than the Next Date on the Custodial Inspection Form window.

If all the criteria above are satisfied, a new Custodial Inspection is generated.

The Description field of generated Inspections is made up of the Form Type Description plus the Inspection Type Description.

How to Set Custodial Batch Generation

Path: Admin > Batch Management / Custodial Inspection Generation

You have the option to set the calculation for a one-time occurrence or on a recurring basis:

From Batch Management:

  1. Click the Custodial Inspection Generation
  2. Set the Start At date and time. Choose a time when there is less traffic on your network.
  3. Click the Recurring Batch Job check box if you want to recalculate automatically.
  4. Select the Interval.
  5. Click the Next
  6. Click the Finished

If you set a recurring batch for every day at 1:00 a.m. without an Until date, the values are calculated forever (or until you edit this batch routine).
