Path: Transactions > Request > Inspection Findings Batch Validation
The Inspection Findings Batch Validation function is used to locate specific types of Inspection Findings records or all records and create a related Work Order or convert to Projects or Audits. Colored icons in the second column indicate the status of that line. The standard colors (red = reject, green = accept, and yellow = hold) are visible where applicable.
How to Select Inspection Findings Batch Validation Items
From the Batch Validation Query flyout, use the same process described in Advanced Find to filter your search. Similar to other searches in WebTMA, you have the option to make your results as broad or refined as you need.
Once you select the List Results button, the window refreshes and you see a list of Inspection Findings records that match your criteria.
Inspection Findings Batch Validation Window
After you filter the Batch Validation items, use the Inspection Findings Batch Validation window to accept the Finding and create a Work Order (Validate), deny (Reject), or ignore (Hold) requests. To see details about a line item, click an identifier in the Number column.
Other options, such as Convert to Project, Convert to Existing Project, or Convert to Audit are the same as those on the Inspection Findings window.
The basic instructions in the following topics describe how to accept, deny, or hold Findings. The only difference is that the flyouts reflect the appropriate fields depending on whether you want to create a Work Order, a Project, or an Audit. The page includes a column for Project # that is populated when the request is converted to a Project.
Other buttons on the window are defined below:
- Remove Selected – remove checked line items from view without taking any action. The records show up again if you generate another Batch Validation list
- Export – send the page or all pages to a spreadsheet
How to Accept Multiple Inspection Findings Requests
On the Inspection Findings Batch Validation window, scroll across the window to see more details.
- Mark the check box for each line item to be accepted.
- Choose the Validate button.
- Complete the Request Validation (Convert to WO) flyout.
- Select the desired Email option.
- Choose the Accept button.
If you have saved the requested Work Order or Project, the window refreshes and displays the next line item until all selected line items are processed as Work Orders. A green icon in the second column indicates accepted line items.
How to Deny Multiple Inspection Findings Requests
On the Inspection Findings Batch Validation window, you can deny several requests at one time.
- Mark the check box for each line item to be deleted.
- Choose the Reject button.
- Enter the Reject/Hold Reason on the flyout. The reason added here applies to all the selected line items.
- Choose the desired reply radio button (No E-mail, Manual Reply, Automatic E-mail). If you select Automatic E-mail, WebTMA alerts you if any Findings do not have an affiliated Repair Center. This is required to send the automatic e-mail.
- Select Save on the flyout to complete the rejection.
When the window refreshes, a red icon in the second column indicates the line items you have rejected.
Note: Using the Reject button does not immediately complete the action. If you change your mind, you can select the Cancel button on the Reject/Hold Reason flyout to cancel the action.
How to Hold Multiple Inspection Findings Requests
On the Inspection Findings Batch Validation window, you can put a hold on several Findings at one time:
- Mark the check box for each line item to be held.
- Choose the Hold button.
- Select the desired reply radio button (No E-mail, Manual Reply, or Automatic E-mail). If you select Automatic E-mail, WebTMA alerts you if any requests do not have an affiliated Repair Center. This is required to send the automatic e-mail.
- Enter the Reject/Hold Reason on the flyout. The reason added here applies to all the selected line items.
- Choose Save to complete the process.
When the window refreshes, a yellow icon in the second column shows the line items you have put on hold.
Note: Choosing the Hold button does not immediately complete the action. If you change your mind, you can choose the Cancel button on the Reject/Hold Reason flyout to cancel the action.
