You can make selected Users, Requestors, and/or Technicians eligible to log in without using an ID and Password. This is done by generating a URL and sending it to the eligible person. When they choose the URL, WebTMA bypasses the Login window and immediately opens the application. Users can bookmark this URL for repeated use. Individuals who only use a Service Request Form are also given a URL Login.
All Login URLs expire in 24 hours.
Remind all who log in without ID or Password to lock their computer whenever they leave their desk, because anyone who has access to the URL can launch the application.
URL Login IMPORTANT Details
To successfully use the URL Login features, specific check boxes must be marked on different windows to allow URL Login access for either Users or the Service Request Forms.
Required settings:
- Grant access from Admin > Client Info / Preferences–Login-Allow URL Login Access. Unless this is Granted, no one can use a URL Login.
- Mark the URL Login check box on the Admin > User Management > Records / Identity Tab for each qualified User. Without this setting, the individual User cannot use a URL Login successfully.
How to Set Up Login without ID or Password
- Go to Admin > Client Info > Preferences.
- Grant Allow URL Login Access.
- Go to the User record.
- Mark URL Login check box on the Identity Tab.
- Select the Login URL link on the User Management Action Menu.
- Choose the Copy to Clipboard button. *
- Paste the URL in an email and send to the User, Requestor, or Technician.
* Alternatively, you can select the Email Link button, and type the person’s email address in the Send Email flyout.
Service Request Form Settings for URL Login
Service Request Form URLs open a custom Request Form that your organization has created. The Service Request Form is designed for Users that should have very limited access to WebTMA. The required settings outlined above in URL Login IMPORTANT Details also apply to Service Request Forms.
Set up limited-access User records for these individuals. It is recommended that you set all lines on the User Management > Records / Window Access Tab to None; however, be sure to allow needed data access on the User Management > Records / Data Access Tab.
Once you have established the Client Info setting and limited-access User records, follow these steps to generate the URL:
- Go to Admin > Form Attributes > Service Request Form / Identity Tab.
- Select an existing Form Record.
- Mark the Use Without Login check box on the Identity Tab.
- Select a User in the Data Access User field on the Identity Tab.*
- Choose the Generate URL link in the Action Menu.
- Select Copy to Clipboard or Email Link. Note: If you choose to email the link, you are required to manually enter the address.
* The User selected is the record you created as mentioned above to deny Window Access and determine Data Access. This User is automatically logged in to the Service Request Form via the URL.
