The Sections on the Work Order / Identity Tab are used to supply detailed information about:
- General Information
- Task Information
- More Information
- UDF
- Estimate
- Prevent Archival
General Information
See Work Order Identity Tab for details about the fields in this Section.
Task Information
The Task Information Section shows the Task to be performed. A grid displays all the Tasks when the Work Order includes multiple Tasks. Use the scroll bar to see information recorded for each Task. See the Task topics for complete explanations and instructions on how to populate the Task Information Section.
More Information
The More Information Section shows the Post dates and Lapse Times related to the Work Order as well as other details about the Work Order. Additional information is available using the Show Audit History and Tracking links on the Action Menu.
The Exclude from Requestor check box refers to the Requestor Login. A mark in this box prevents the Work Order from appearing in the selection list for Work Orders only when a Requestor logs in to the separate Requestor Login window.
The Source System field is used to indicate unusual sources of the Work Order. For example, if you use the Copy button on the toolbar to duplicate a Work Order, the new Work Order shows WO Copy in this field. In addition, the Requestor fields (name, phone, and email) are cleared on the copied record. Most Work Orders, such as new created records, do not have a source indicated.
UDF
The UDF Section is available to record information or data that is not included in the predefined fields of a record. The Section is found on many windows. These are added by your WebTMA System Administrator.
You can also create corresponding UDF fields for two windows: Work Order and Request Log. If you create UDFs in the System Form Attributes Section for each window and these share the same label and the same data type (i.e., Name and Type), the contents of the UDF field on your Request is carried to the corresponding UDF field on the Work Order when accepted.
These UDF fields can also be included on the Service Request Form / Layout Tab when System Administrators create new Service Request Forms.
Estimate
The Estimate Section displays any estimated time, cost, or related Estimate records for the Work Order. If a full estimate is not required, you can enter data in two fields on the Estimate Section; these are the Estimated Hours and Total Estimated Cost.
If an estimate is required, the Section reflects read-only data from the Estimate record, which makes it convenient to review the details without having to open the Estimate window.
Estimate # The ID number of the required Estimate. A read-only field.
Estimated Hours A field in which you can enter estimated hours if an official Estimate record is not required.
Estimated Labor A read-only field that reflects the estimated cost of Labor from the Estimate record.
Estimated Part A read-only field that reflects the estimated cost of Parts from the Estimate record.
Estimate Rental/Other A read-only field that reflects the estimated cost of Rental or Other Charges from the Estimate record.
Total Estimated Cost A field in which you can enter total costs if the work does not require an Estimate. If Estimates are required, WebTMA makes this field read-only and displays total costs.
Prevent Archival
If you use the optional Archive and Purge module, mark the Prevent Archive check box if this Work Order record should be retained in the active data base rather than archived.
