Depending on whether you use Lock Shop or not, different fields are required. The following topics define both required and elective fields.
Keys Required Fields with No Lock Shop
Code This field is always read-only. When you do not use a Lock Shop or Key System, WebTMA inserts the Key # in the Code field.
Description The name or description for this Key or the name of the master Key if applicable. Examples: Grounds, Administration, Facility Master Key.
Key # Also called Keyset or Key symbol, the Key number is normally the number stamped on the Key. The Key # is a unique identifier. The number may be a simple reference number, the actual bitting of the Key, or a combination of numbers and letters. For example, you can use the Keyway designation as a prefix with the reference number. The field accommodates a maximum of 12 characters including hyphens. If there is only one Keyway, enter the characters as the Key number. If your organization uses multiple Keyways, consider using a Key combination. Separate the two sections with a dash to facilitate sorting and searching, for example, AA-443461 or J-4121994. For security reasons, avoid using the bitting as part of the Key number.
Keys Required Fields with Lock Shop
Code This field is always read-only. The Code is the concatenation of the Lock Shop Code, Key System Code (if used), and the Key #. Each segment is separated by a hyphen ( – ).
Description The name or description for this Key series or the name of the master Key if applicable. Examples: Grounds, Administration, Facility Master Key.
Key # Also called Keyset or Key symbol, the Key number is normally the number stamped on the Key. The Key # is a unique identifier, but it is only required to be unique within the combination of the Lock Shop and the Key System. You can have the same Key # for many different combinations of Lock Shop and Key System. Type the character sequence used by your organization. For example, you can use the Keyway designation as a prefix with the reference number. WebTMA populates the read-only Code field with a combination of the Lock Shop, Key System (if used), and Key # separated by hyphens). The Key # field accommodates a maximum of 12 characters.
Lock Shop Select the Lock Shop for which this Key is created. Users of this module only see Lock Shops for which they have access based on the Repair Center and their User Access. Reminder: Once you set a Lock Shop and Key System and the record is saved, child dependencies associated with these fields require that they be made read-only.
Keys Elective Fields
Bitting This represents the cuts of the Key (i.e., 443461). Locksmiths usually maintain this information to cut a new Key if one is lost. The bitting is not needed in general use, and it is a security risk to have the bitting made public. For this reason, access to the field is restricted to those deemed by the WebTMA System Administrator to have a need to know.
Key bittings are stored in Organization > Lookups / Key Bittings. For Keys related to Lock Shops and Key Systems, the only way to add a new bitting record is from the Lookups window. If you create an unaffiliated Key (no Lock Shop), you can add a free-form bitting sequence in the Bitting field on the Keys window. When you save the Key record, WebTMA records the new bitting number in the Lookups / Key Bittings window.
When Lock Shop and Key System functionality are used, select the bitting from the drop-down list. For Lock Shop affiliated Keys, a Key Bitting may be used more than once.
Blind Code If your organization uses blind code charts for greater security to translate a blind code to a bitting code, enter the blind code in this field.
Control Key If the Key is used to remove and replace cores from removable core Locking systems, mark the Control Key check box. Control Keys cannot have associated parent/child relationships, Symbol/Level, or associated Locks or Cores. This check box is enabled if you complete the Key System field and the selected Key System uses interchangeable cores.
Key Stamp This is the identifying number stamped on the Key.
Key System If you use the Key System method of formalizing the Parent/Child relationships of Key records, select the code in this field. The selections available are limited to those associated with the Lock Shop you choose. A Parent Key is required, i.e., the Key System record must have at least two levels. Note that a Symbol/Level is required when Key System is selected. Reminder: Once you set a Lock Shop and Key System and the record is saved, child dependencies associated with these fields require that they be made read-only.
Keyway This is a free text field that represents the Keyway. If the Keyway was not entered as part of the Key number, it can be entered in this field..
Misc If the Key is not part of a hierarchical master Key system, check this box. This allows you to use Key Management to record Keys that are used with other items such as Vehicles and Equipment. When the check box is clear, the grid on the Access Tab is disabled.
Parent Key If this Key is a subset of another Key record, in other words, if this is a child of another Key record, select a key number in this field. The field is locked if the Key record has associated child Keys. It is required if a Key System is selected and the Symbol/Level is set to a lower level (not the highest level).
Repair Center The Repair Center designation indicates ownership of the Key. In addition, it is used to filter users who can see this Key record based on their Repair Center permissions.
Serialized? A mark in this check box indicates that new Keys have a unique serial number. Serial numbers are added when you create the Keys from Keys > Adjustments.
Symbol/Level When you do not use a Key System, the Symbol/Level field contains additional Key identification (i.e., AB, A, ABA) that is obtained from your Locksmith.
