Options and fields on a number of related windows must be established before Auto Attendant rules can be applied to achieve auto-conversions or auto-schedules.
The Repair Center / Auto Attend Tab displays if you have the Auto Attendant module and is used to establish specific conversion rules for Requests.
The Admin > Auto-Schedule Rule window is used to establish the rules for automatically scheduling Work Orders. It is available only with the Auto Attend module.
Tasks are essential to conversion. Only Tasks marked as Available for Request Forms on the Task / Identity Tab qualify for auto-conversion.
The Trade window includes a WO Query field. The field names a query created from the Work Order that applies to the mobile WO Queue window.
The Request Log window includes a Task Code field. If the selected Task qualifies for automatic conversion, WebTMA applies any rules for the selected Repair Center.
Auto-assign Trade to All Work Orders
Administrators have the option to auto-convert Requests and auto-assign a Trade to all Work Orders. This allows organizations to make use of the mobile WO Queue for auto-converted requests. If neither the Auto Schedule nor the Task specify a Technician, but do specify a Trade, the WO Query for that Trade is respected.
If you have common Tasks shared across multiple Repair Centers, the Auto-Schedule rule applies the combination of the Task selected and the Repair Center on the rule to determine the proper Trade for the Work Order. For instance, your organization might have a Task for “Too Hot/Too Cold” that is shared across multiple Repair Centers, and depending on the Repair Center on the Work Order, a different Trade is assigned. Administrators can create multiple Auto-Schedule rules referencing the same Task but assigning a different Trade. The Repair Center on the record determines the Trade that is assigned the Task.
