Requestor licenses are used to provide limited request or browse access for a few of the windows in WebTMA. Personnel with Requestor logins do not have access to the full WebTMA application.
If Requestors work in more than one site, use the Requestors / Location Tab to assign the locations and indicate a Preferred Location that is reflected in the read-only section of the Requestors / Identity Tab.
Requestors Details
Records for those who are granted Requestor status are set up using the Requestors window and subsequently the Admin > User Management > Records window. Requestors can also be assigned to a Group.
See the next topic, Requestor Space Management, for full information about Requestors that work in more than one location.
The information on the Requestors record is different from Technician records. Although it includes details such as License #, Badge Number, and Location, it does not include personnel information such as pay rate and employment date.
If you use the Reservation and Rental modules, Requestor information is automatically inserted in the Reservation and Rental windows when you populate the Requestor field on those windows.
Requestor Space Management
Path: Admin > User Management > Requestors / Location Tab
Requestors can be associated with multiple Areas as Occupants, for example a university professor can be associated with both an office space as well as lab and classroom spaces.
The initial assignments are made on the Requestors / Location Tab. Scroll to the final column at the right to mark one of the lines as the Preferred location, e.g., where most time is spent. Note that each line can have a read-only percentage of use.
The percentage of “ownership” is determined on the Areas / Occupants Tab.
Lines in the Principal Investigator Areas section are used to provide a tracking tool of people using Areas. This gives you a way to record and report on the usage.
These designations are then available in various ways on the Request Log, Work Order, Report Writer, and Search/Find windows. For Requests and accepted Work Orders, the Preferred Location is completed automatically in the appropriate fields when the Requestor is selected. When you directly create a Work Order for a Requestor (no Request), you can use the Select From Requestor Locations icon that displays at the right of the Requestor field to choose the desired location.
How to Add a Requestor Record
Adding Requestor records from Admin > User Management > Requestors is similar to adding other user records in WebTMA.

Complete the fields in the General Information Section, most are self-evident. Badge applies if your organization issues work badges, and License # records the Requestor’s driver’s license number.

Enter other information as needed.

Click the Repair Centers Tab and select Repair Centers.

Click Save on the WebTMA toolbar.

Select the User Account link in the Action menu, and the following message displays: "A linked User account does not exist. Create?"

Click OK on the message to open the User Management window with the Requestor information.

Go to How to Finish Requestor Records for instructions on how to complete the User Management window for Requestor records.
NOTE: Do not delete Requestor records unless they have never been associated with any other WebTMA record. If the Requestor is no longer employed, you have the option of making the Requestor record inactive (clear the Active check box). Inactive Requestor names do not appear on selection lists, and the Requestor cannot log in to the system.
How to Finish Requestor Records
When you click the User Account link on the Requestor window Action Menu, the User Management > Records window opens and the fields are populated with the information entered on the Requestor record.

Complete the required fields.

Grant desired access on the Window Access Tab. See Important Note below for information about Service Request.

Grant desired access on the Data Access Tab.

Complete any desired fields on the Preferences Tab.

Click Save on the WebTMA toolbar.
IMPORTANT NOTE: On the Window Access Tab, you have the option to grant Add to Service Request, which allows the Requestor to submit a work request. If this is granted, be sure to go to the Preferences Tab and select the desired Service Request Form in the Default Request Portal Form field. Also, grant Read access for Work Order, which allows the Requestor to successfully use the Info icon in the Service Request window.
Repair Centers Tab for Requestors
Repair Centers entered on the User Management > Requestors window are the Repair Centers that can see the Requestor. This does not give any Repair Center relationship to the Requestor, it only allows Users throughout the application to see the Requestor's name on selection lists.
Assigned Items Tab
The Requestors / Assigned Items Tab is used to connect items with a Requestor. The list on this Tab represents an inventory of items assigned to the Requestor. The Item Selection window includes options for various types of items in the WebTMA database such as Equipment, Tools, and Assets.
