Path: Admin > User Management > Records / Window Access Tab
The Window Access Tab allows you to limit the User's view to specific menus and windows.
Permission to make changes to the Window Access Tab should be limited to WebTMA Administrators; however, if Users have access to this Tab, any modifications they make are limited to their own access. For example, if User 1 attempts to grant an access to User 2 but User 1 does not have that access, the only option available is None.
Window Access Details
The window shows a tree list of the main menu options such as Accounting, Organization, and Transactions. Fields to the right indicate whether the User has been granted access for various modes (Add, Edit, etc.) or has inherited settings from a Group.
Click the arrow next to a menu name to view related sub-menus and access granted. You can change access on an individual basis.
In Edit mode, use the buttons above the grid to grant or restrict different combinations of access to all options at one time. Individual line items can be changed as needed. Note that the term Mixed displays even when you click Full. This reflects the fact that some of the windows for that menu do not allow all actions. For example, the only options available for Request > Batch Validation window are Add and None. This triggers the Mixed term, because not all actions can be performed on that window.
NOTE: Settings for Window Access propagate from Group to User only when denied at the Group level or when User values are not set.
Request Log Security
To tighten security on the Request Log page, the following rules apply. These changes ensure that the rules are enforced on both system windows and custom windows.
WebTMA looks at the User or Group Window Access and applies the following rules:
Window Button | Requirement 1 | Requirement 2 |
Accept | Edit on Request Log | Add on Work Order |
Convert to Project | Edit on Request Log | Add on Project |
Convert to Audit | Edit on Request Log | Add on CP Audit (Capital Planning) |
Reject/Hold | Edit on Request Log |
As an example, to use the Accept button, a user or group must be granted Edit on the Request Log window and Add on the Work Order window.
Window Access Assignment Buttons
With a click of your mouse in Edit mode, you can grant or limit Window Access for any User record including Administrators, Users, Requestors, Technicians, and Contractors.
The following list defines the effects of each button.
Use of these global settings allows you to grant access quickly and then make changes where needed.
Custom Window Access Section
If you modify WebTMA windows using Custom Form Attributes, the Custom Window Access Section is used to assign access to your customized windows. The Section is available on the Window Access Tab for both the User window or Groups window.
Simply mark the access as None in the Window Access Section for any window you want to substitute and assign the customized version in the Custom Window Access Section.
How to Add Window Access to a User
If you want to add or change some of the menu and window access for a User:
