Fuel & Oil - WebTMA 7

 

Path: Transactions > Fuel & Oil

You can post Fuel and Oil expenses to a Vehicle record using the Fuel & Oil window. This is similar to the Quick Post > Fuel & Oil window, but Transactions > Fuel & Oil processes one Vehicle at a time.

If a Vehicle has a Fuel Type specified, the type automatically populates the Fuel Type field when you type the Vehicle tag number.

NOTE: If the Fuel Type field is already populated on this window, selecting a Vehicle with a different Fuel Type does not overwrite the value in the Fuel Type field.

In addition to the Odometer reading, other meters can be updated as well. If there are multiple meters, select the applicable meter and enter the reading.

Budget Codes for Fuel

The Fuel & Oil window includes a Budget Code field that applies to Debit accounts.

Credit account codes are entered in the Lookups > Fuel Types window, which also has a Budget Code field.

How to Add Fuel & Oil Tickets

  1. Choose Add on the WebTMA toolbar.
  2. Accept the Ticket Date or change if needed.
  3. Select Vehicle as the item type.
  4. Choose the Tag # of the vehicle.
  5. Enter the RC Name.
  6. Complete the elective fields as needed.
  7. Select Save on the WebTMA toolbar.

Reminder: If the Fuel Type field is already populated on this window, selecting a Vehicle with a different Fuel Type does NOT overwrite the code in the Fuel Type field.

When you save the record, the Ticket # field is completed automatically. WebTMA numbers tickets in sequence starting with one (1).

For good records, be sure to record the Meter reading at the time the fluids are purchased as well as the Unit Cost and Quantity of the fluids such as fuel, oil, transmission, or coolant (at least one item is required). If the vehicle has more than one meter, be sure to select the appropriate meter.

If a bulk price is paid, enter this in the Bulk Price field. Bulk Price data takes precedence over the values in the individual Unit and Quantity fields.
