Use the Biomed / Identity Tab to record primary information about the item including location, manufacturer, and purchase date.
Biomed Equipment items may require special reminders when generating Work Orders or Requests for the item. Use the optional Popup Message section to add a short (255 character) message that displays when the item is selected on Work Order or Request windows.
NOTE: You can create a Work Order related to this item by clicking the Create WO link on the Action Menu.
Identity Tab Sections
While the General Information Section includes the essential information, other Sections on the Biomed / Identity Tab give you the option to note Option Controls such as Critical Alarms, Details such as Standard Operating Procedure (SOP), various Dates such as Warranty and Registration, as well as the Popup Message and Comments.
If you use the Biomed Make/Model feature, the Base PM Date in the Dates Section is required to calculate PM generation dates. WebTMA recommends that you use the least frequent PM schedule (typically annual) and BACK DATE it one year. This assures that related PM schedules are generated correctly.
How to Add Biomed Equipment Records
- Click Add on the WebTMA toolbar.
- Type the Control ID.* Include abbreviations that are easily recognized, such as DE-01 for a defibrillator when setting the style of your number. Numbers can be alphanumeric. The Device Name field provides more detailed identification for the item.
- Select the Make. The information comes from the manufacturer's record.
- Select Device Type.
- Select the Facility Name. Note: Certain items may "float" from one room to another; therefore, you are not required to select a specific room for a location.
- Include needed elective fields in other Sections on the Identity Tab.
- Click the Repair Centers Tab and assign Repair Centers responsible for maintenance.
- Click Save on the WebTMA toolbar to save the record.
* If your WebTMA System Administrator sets this field to use an auto-counter, the field is disabled, and WebTMA automatically populates it when the record is saved. With Auto-Counter turned on, WebTMA Purchase Orders for new (to WebTMA) Biomed items display the code as “AutoNumber” on PO records. Once the item arrives and is saved on the Receivings window, WebTMA automatically assigns the Control ID.
Standard Operating Procedure (SOP)
A Standard Operating Procedure (SOP) explains the proper and safe procedures that are required when operating a piece of Equipment.
Use the drop-down list in the SOP field on the Identity Tab to select an SOP. They print out with a related Work Order.
SOP procedures are established using Organization > Task > SOP by users with the appropriate authority.
Lock-Out Procedure
Lockout is a safety procedure that must be followed to ensure that dangerous machines are properly shut off and cannot be started again prior to completion of maintenance or repair work. For example, if work is being done on high-voltage equipment, a Lockout/Tagout procedure is followed at the electrical panel to prevent other Technicians from re-energizing the Equipment while it is being worked on.
The procedure requires that hazardous energy sources be "isolated and rendered inoperative" before work is started on the item. The power sources are locked, and a tag is placed on the lock identifying the worker who placed it. The worker holds the key for the lock ensuring that only he or she can remove the lock and allow the machine to be started. This prevents accidental startup of a machine while it is in a hazardous state or while a worker is in direct contact with it.
Lockout/Tagout is used across industries as a safe method of working on hazardous equipment and is mandated by law in some countries. Users with the appropriate authority can record these procedures in WebTMA.
Lockout Procedures are selected from the Lock-Out field on the item's Identity Tab and printed with related Work Orders. These procedures are established using Organization > Task > Lockout.
