In View mode, the Tasks & Resources Tab displays a list of the Tasks needed to complete an Advanced Project. For long-term Projects, add Tasks during and after the planning stages, and create Work Orders from the Task lines when it is time to take action. If preferred, you can use the Project Task Generation link on the Admin > Batch Management window to schedule automatic Work Order generation rather than opening each Task to create Work Orders.
Project Tasks
Defining Project Tasks is an optional function of Projects. Basic Projects do not require Project Tasks. Advanced Projects include Project Tasks to identify and define the activities involved in a large-scale Project.
A single Project can have multiple Tasks. By setting up the Tasks prior to requiring the work to be done, you can visualize each stage of the Project. You can also view defined Tasks for a Project in a Gantt chart from Transactions > Project > Gantt.
Task Operation Details
Once resources are assigned or recorded for a specific Task they are displayed with the associated line item. Expand a Task line to see any resources assigned to the Task in the next tier level. Your WebTMA System Administrator determines your Warehouse access privileges. If access is denied, you can see resource line items, but you cannot delete the lines.
When you choose the Add Task link, add the Task information, and select Save on the Task Entry flyout, the Task line is displayed on the Tasks & Resources Tab. Select the icon to open a read-only Task Entry window. This window provides information about the Task and the associated Work Order when converted. It can also be used by approved personnel to authorize the Task if needed.
To track your Project in the Microsoft Project application, choose the Export To MS Project link. This converts the Tasks to an Excel spreadsheet (.xlsx) format that can be imported into MS Project.
If you have a Project that requires similar Tasks, resources, and other information, you can copy an existing Project in View mode. Select Copy on the WebTMA toolbar, and give the copy a new name. Save the copied record, and edit the fields as needed.
For Tasks and Resources that have Estimated Start dates, WebTMA automatically moves the date forward in time based on the Start Date you enter on the Project / Identity Tab. For example, if the original start date was set at 4/15/23 with a resource line date of 4/30/23 and you enter a new Start Date of 6/15/24 on the copy, WebTMA automatically changes the resource date on the copied record to 6/30/24.
How to Add Project Tasks
The Task Entry flyout includes an Estimate & Actual Dates Section and a Work Order Section. In the planning stages, you may prefer to add the required Name and Description without completing any other fields; however, more information is required to convert the Task to a Work Order.
From the Tasks & Resources Tab for the desired Project:
- Choose Edit on the WebTMA toolbar.
- Select the Add Task link to open the Task Entry flyout.
- Enter the Task Name.
- Add a Task Description in the free-form text field.
- Complete as many of the elective fields on the flyout as needed.
- Choose the Save button on the window.
- Select Save on the WebTMA toolbar to save the record.
If you have saved a Task with the minimum required information, re-open the record and edit the Task line when it is time to take action . Be sure to include the WO Type, Repair Center, Item/Location, and Task in the Work Order Section. WebTMA cannot convert the Task to a Work Order until this information is present. Other elective fields can also be completed at the same time.
Prerequisite Tasks are created when you link Tasks using the Project > Gantt window. Prerequisite Project Tasks are any Tasks that must be completed and the associated Work Order must be closed before the next Task can begin. The field is enabled after you have saved a Task and then add another.
How to Convert Project Tasks to Work Orders
Tasks are converted to Work Orders in View mode. Select the Generate WO link on a Task line. If any of the required information is missing (WO Type, Repair Center, Item/Location, Task, or Trade), WebTMA alerts you. The Task cannot be converted until these fields are completed.
To add missing information in Edit mode:

Choose the Edit icon for the Task line.

Provide required information.

Select Save on the Task Entry flyout.

Choose Save on the WebTMA toolbar.
When you select the Generate WO link, WebTMA makes the conversion and opens the new Work Order record in Add mode. Make any desired additions to the Work Order and select Save on the WebTMA toolbar.
How to Edit Project Tasks
If you have saved a Task with the minimum required Name and Description fields, you can edit the Task and add the information needed to convert the Task to a Work Order. To convert a Task, the following information is required: WO Type, Repair Center, Item/Location, Task, and Trade.
- Locate the desired Project and Task.
- Choose Edit on the WebTMA toolbar.
- Select the pencil icon on the line item to edit the Task.
- Make the needed additions.
- Choose the Save button on the window.
- Select Save on the WebTMA toolbar.
When sufficient information is added to the saved Task, select the Generate WO link in View mode to convert. Note that many fields on the Task Entry flyout are read-only after it has been converted.
Task Resources
Once you have saved a Task, add the resources from the Tasks & Resources Tab. You have the option of Labor, Material, Other, or Item resources. More resources can be added during the Project.
When the Task is converted to a Work Order, the Project Resources display on the Work Order / Schedule Tab—Required Resources/Parts Section.
Resources are also visible on the Tasks & Resources Tab. Expand a Task line to display the Task resources.
How to Add Project Task Resources
As soon as you create a Task line, you can add needed resources. If more resources are needed later, edit the Task line to include them.
- Choose Edit on the WebTMA toolbar.
- Select the desired Task line.
- Choose the Add Resource link on the expanded grid.
- Select the desired radio button (Labor, Material, Other, or Item).
- Complete the related fields as needed. These change depending on the radio button selected.
- Choose the Save button on the Resource Entry flyout.
- Select Save on the WebTMA toolbar.
