Use the Request for Quote (RFQ) window to obtain price quotations from multiple Vendors. As quotes arrive, you can add quoted prices to each Vendor line. Once all quotes are received, recorded, and compared, you can decide which Vendor's quote should be converted to a Purchase Requisition or Purchase Order.
When you have received all quotes, scroll right on the Quote Vendors Section to quickly scan the Est. Total column and determine the best quote line. You are not committed to order all items from one Vendor. Once the RFQ is converted to a PR or PO, you can delete items you do not want to order from that Vendor, and return to the RFQ to convert a different quote with better prices for the deleted items.
How to Add Items to a Request for Quote
The Item Entry flyout accommodates both Part (stock) items as well as OTP (One Time Purchase).
In Add or Edit mode:
- Complete the required fields as well as any elective fields in the General Information Section.
- Choose the Add Item link in the Quote Items Section to open the Item Entry flyout.
- Mark your choice of Part or OTP radio button.
- Complete the required fields and elective fields needed.
- Select the Save button on the flyout.
- Go to How to Add Vendor Lines to RFQ to add desired Vendors.

How to Add a Distribution Line to RFQ
In Add or Edit mode:
- Expand the desired item line.
- Choose the Add Distribution link on the next tier to open the Distribution Entry flyout.
- Select the Work Order # and the Task auto-populates.
- Enter the Required Qty needed for the Work Order.
- (Optional) Complete elective fields on the flyout.
- Choose the Save button on the flyout.
- Select Save on the WebTMA toolbar.
How to Add Vendor Lines to RFQ
Vendors, and ultimately their quotes, are added to the Quote Vendors Section.
In Add or Edit mode:
- Choose the Add Vendor link to open the Vendor Entry flyout.
- Select the Vendor Code or Vendor Name.
- Complete desired elective fields.
- Choose the Save button on the flyout.
- Select Save on the WebTMA toolbar.

Note that Standing Purchase Orders are also created from the Vendor Entry flyout.
How to Add Vendor Quotes
In Add or Edit mode:
- Expand the desired Vendor line to view the tier of items.
- Choose the pencil icon to view the Vendor Item Entry flyout.
- Add the quoted Unit Cost.
- Choose Save on the flyout.
- Repeat to add costs for each line item.
- Select Save on the WebTMA toolbar.
How to Convert Vendor Quotes
When all quotes have been received, you can review the Est. Total column to help determine best prices; however, you do not have to order all items from one Vendor. Once a Vendor line is converted, you can delete line items on the PR or PO window and return to the RFQ window to convert quotes from a different Vendor with better prices for the deleted items.
In View mode:
- Highlight the desired Vendor line.
- Choose Convert on the Action Menu.
- Select Purchase Requisition or Purchase Order radio button on the Convert flyout.
- Choose the Save button on the flyout to open the PR or PO window.
- (Optional) Delete any items with unacceptable quotes.
- Complete the PR or PO window as needed.
- Select Save on the WebTMA toolbar.
Standing Purchase Orders and RFQ
In WebTMA, a Standing Purchase Order (SPO) is an agreement with the Vendor to provide Parts. During the life of the SPO, the price can be changed.
SPO agreements are used to eliminate issuing a new Purchase Order every time purchases are made from the Vendor. Different line items on the RFQ can have different SPO numbers.
Since the SPO is set up from the Request for Quote window, you can:
- Add or delete lines from the quote
- Change the expiration date
- Change the price after Vendor prices are entered and a PO issued
IMPORTANT: SPOs must be converted directly from the RFQ to a Purchase Order. If you convert to a Purchase Request first, all SPO information is lost, and the PO converted from a PR will be an ordinary Purchase Order.
Create the SPO number when you add a Vendor using the Vendor Entry flyout on the Request for Quote window. An SPO quote can be converted to the same Purchase Order number more than once. If the Vendor Entry flyout includes an expiration date, it applies to the SPO. During conversion, WebTMA checks the date and notifies you when a quote has expired; however, you have an option to continue converting to a PO.
Reorders using an SPO can be generated using the Stock Replenishment Wizard (SRW) as well as the Request for Quote window.
