Tabs on the Accounts window provide information about Budget, Users, Repair Centers, and Cost.
Budget Tab
Path: Accounting > Accounts / Budget
Use the Budget Tab to enter monthly budget information and post information for each account. Entering budget information is optional, but use of budget data is encouraged if it is available.
In Edit mode, enter the established or expected budget amount for each month of the year prior to posting charges.
As debits and credits are posted to the account, the accumulated amount is displayed in the Actual column for the month (determined by the posted date).
When the Post Charges function is performed, the difference between the Actual amount and the Budget amount is calculated and displayed in the Variance column. If a negative value is included in the Actual column, such as a credit for a return, a value in the Variance column can be greater than the Budget value.
Users Tab
Path: Accounting > Accounts / Users
If you use the Pending Charges Review/Dispute feature, the users associated with the Department display on the Accounts / Users Tab. The Department is selected on the Accounts / Identity Tab.
The read-only Users Tab displays any Users or Requestors with the related Department selected on their User Management record.
Repair Centers Tab
Path: Accounting > Accounts / Repair Centers
Use the Repair Centers Tab to associate one or more Repair Centers with a record. Only users that are assigned to the associated Repair Center(s) can see and use the record.
You are reminded to assign a Repair Center if you attempt to save a new record without selecting at least one Repair Center. Without a linked Repair Center, no one can view the record or assign work to an employee or for an item.
How to Affiliate a Repair Center with a Record
You can add as many Repair Centers as needed to a record. In Add or Edit mode:
- Select the Repair Center Tab.
- Choose the Add Repair Center link at the top of the grid to open the Repair Center Entry flyout.
- Mark the check boxes of all applicable Repair Centers. Tip: To select All Repair Centers, mark the check box next to the label Repair Center Code.
- Select the Add Selected button.
- Choose Save on the WebTMA toolbar.
Cost Tab
Path: Accounting > Accounts / Cost
The read-only Accounts / Cost Tab displays the posted costs for the selected Account. This is different from other Cost Tabs in the application.
All other Cost Tabs found in WebTMA merely reflect an accumulation of costs to give users an idea of the costs incurred. The Accounts / Cost Tab shows the value of funds taken from the specific Account.
Most organizations do not routinely charge other Accounts for the work they do. However, if work is charged, the Accounts / Cost Tab reflects the value of those charges.
The data on this window reflects current Cost data by Labor, Parts, Other, Contractor, and Total compared to historical data.
