The Returns & Repairs window is used to track items returned to a vendor for replacement or repair. The WebTMA System Administrator must set up Organization > Lookups / Return Types before users can create a return.
How to Create a New Return
Path: Transactions > Returns & Repairs / Identity Tab
Click Add on the WebTMA toolbar.
- Click Add on the WebTMA toolbar.
- Complete the required returns and as many of the elective fields as possible.
- Click the Add Item link to open the Return Items window.
- Complete relevant information on the Return Items window
- Click the Save button on the Return Items window.
- Click Save on the WebTMA toolbar.
If your organization uses the auto-counter feature to automatically number returns, the Return/Repair # field displays the number after you save the record.
How to Close a Return
Path: Transactions > Returns & Repairs / Identity Tab
Follow the path to open the window.
- Click Edit on the WebTMA toolbar.
- Click the pencil icon for the line item that has been repaired or replaced.
- Complete the appropriate fields of the Return Items window including date and returned to service if appropriate.
- Click the Save & Close option on the Save button.
- Click Save on the WebTMA toolbar to save the record.
NOTE: When you mark the Returned to Service check box, the Closed Date field is populated with the current date and the field becomes required. Clear the Returned to Service check box and the Closed Date field is cleared and becomes optional. Once a record is saved with the Returned to Service box checked, the check box is disabled and cannot be changed.
Returns & Repairs – Part Warehouse Access
Access to the warehouse associated with the part is required for the logged-in user in order to return/repair parts or to make changes to line items for parts on existing Returns & Repairs records. Permission to access warehouses is granted by your WebTMA System Administrator. When access is denied, you can see line items on existing records created by someone else, but you cannot edit or delete the lines. In addition, you cannot create a new return/repair record for a part unless you have access to the warehouse to which it is associated.
Returns & Repairs Vendor Info Subtab
Path: Transactions > Returns & Repairs–Vendor Info Subtab
The information on this window is read-only. The address and contact information come from the Vendor / Address Tab. Since the Vendor record can have multiple addresses, you can populate the window in Edit mode.
On the Returns & Repairs–Gen Info Subtab, click Edit on the WebTMA toolbar. Notice the small icon to the right of the Vendor Name field. Click the icon to select the applicable Vendor Address. This address is then visible on the Vendor Info Subtab.
The Lead Time field reflects a calculation made by WebTMA. The system reviews all Returns & Repairs records for this Vendor and calculates the minimum difference between the Doc Date and the Return Date (Closed Date on the Return Items popup window).
