Inspections in WebTMA GO - WebTMA 5

WebTMA GO accommodates mobile inspections for all three optional inspection modules:

  • General Inspections
  • Room Inspections
  • Custodial Inspections

If the logged-in user has permission to make inspections, tap the  Sync button on the List window title bar to download any of these types of inspections for the logged-in user. The window is empty until you tap the button.

All inspection forms in the list are prefixed with the  unpushed icon until the inspection is complete.

Use the Configure button to sort the list.

All completed inspections, even those that have been synchronized, remain in the list for 24 hours.

In WebTMA, the Admin > User Management /Preferences Tab includes the following option: RI-Allow Close Area. If the option is True, technicians can close an inspection regardless of whether all points were inspected.

When the privilege is not granted, technicians must mark all inspection points.

General Inspections

Path: Main Menu > Inspections > General Inspections

  1. Tap the Sync
  2. Tap a line item.
  3. Tap the Check Out button at the lower left.
  4. Enter results.
  5. Scroll to find other items in the group and enter all results.
  6. Tap Save on the title bar.

Use the Search field at the top of the window to locate specific location or tag number lines. As you type, the window scrolls to the desired line.

The record itself is read-only until you tap the Check Out button. Once checked out, the button label changes to Check In.

When the record is saved, you can re-open the record, and tap the Check In button.

IMPORTANT: Since these inspection forms apply to a group, be sure to scroll up to find all items related to the group.

If the check list is Checked Out to the logged in user, the fields related to the check are enabled or disabled based on the following conditions:

Pass/Fail. When Pass is selected, the field remains enabled. If Fail is selected and a Corrective Work Order is generated, i.e., Corrective Work Order # field is not empty, the field is disabled.

N/A. If the Corrective Work Order # field is empty, the field is enabled.

Value or Comment. The fields are enabled if the list is checked out to the logged-in user regardless of whether Pass or Fail is selected.

When the Start Timer button is tapped on the General Inspection window, a 'T' also displays on the Work Order list window in the T/L/A column.

When the Stop Timer button is tapped on the General Inspection window, the QP Labor window opens with the additional Plus sign functionality to easily record the same information for several technicians as described on page 31.

When running the Timer, you cannot update task-related information on the General Inspection. After the Timer has been stopped, you can continue to make task-related changes such as adding a Finish Date, etc. Conversely, if you make task-related changes when the Timer is not running, the Timer cannot be started. This assure that all changes are preserved and reflected properly on the device.

Open General Inspection Window from WO

Work Orders that apply to a General Inspection include a General Inspection  button on the Tasks Tab.

You can click this button to open the related General Inspection record directly without having to follow the menu path.

Failed General Inspection Lines

When you fail a General Inspection work order in the General Inspection Pass/Fail window, WebTMA GO opens the Convert To Work Order window.

If default information is established on the Master Inspection Check, that data will pre-populate the Corrective Work Order.

For the PM corrective work order, enter required and needed elective data, and tap Save on the title bar to save the work order. The corrective work order form includes a Technician field as well as an Assign to Self check box to schedule the work if desired.

Room Inspections

Use the Room Inspections module to examine and record the condition of items listed on the Room Inspection.

The Room Inspections window lists the inspections found on the RI Inspection window in WebTMA. When you tap a line, it opens the inspection with all locations listed. Tap a location line to make comments and mark inspection points. Permissions granted to the logged in Technician determine whether incomplete, i.e., not all points rated, records are uploaded to WebTMA. The RI-Allow Close Area setting is found on the Admin > User Management > Records / Preferences Tab in WebTMA.

In the WebTMA application:

  • Look to Admin > User Management > Records / Preferences
  • Is the RI-Allow Close Area marked True?

The RI-Allow Close Area setting determines whether the logged in technician must rate every inspection point before the inspection record can be synchronized successfully.

When RI-Allow Close Area is True, the technician can complete the inspection without rating all points.

When the technician must rate all points, he or she is allowed to Save the record without completing all points at one time; however, the status for incomplete records shows Partial.

When the inspection list is long and time is short, you can tap the Configure button on the Room Inspections window to sort by the Status and locate the most critical items first.

How to Make Room Inspections

To review items listed on the Room Inspection Form.

  1. Tap the Sync button to review the list of inspections.
  2. Tap a line to see all the inspection areas for a given inspection.
  3. Tap a line to add Comments to the Area page.
  4. Tap Points on the lower menu.
  5. Tap an Inspection Point line to enter the Rating.
  6. Enter the Rating and any Comments about the item if needed on the Rating
  7. Tap Save on the title bar.

Saving one inspection point does not necessarily mean the record is ready for upload to WebTMA. The User or Technician records in WebTMA govern whether you can complete the record without marking each inspection item. See the previous topic, Room Inspections, for information about the needed permission to upload partial records. Look to How to Complete Room Inspections on page 67 for instructions about the final step.

How to Add Room Exceptions

Follow the instructions for How to Make Room Inspections in the previous topic before adding exceptions. Note: Values for the Exception field drop-down list are established in WebTMA from Organization > Lookups > RI Master Exception. The Type establishes the details for Work Orders when work is required on items that need to be repaired or replaced. The RI Master Exceptions specify the default work order task and any fees charged.

  1. Tap the New button at the lower left.
  2. Select the Exception
  3. Enter the Quantity.
  4. Tap Save on the popup.
  5. Tap Save on the title bar.

See Room Inspections on page 64 for information about the needed permission to upload partial records.

How to Complete Room Inspections

When the points have been rated and saved, one final step is required.

From the Area page, tap the  button  and tap Complete Inspection on the dropdown menu. Depending on the settings in the Technician record, the record is considered completed and ready for upload when you tap Complete Inspection.

See Room Inspections on page 64 for the required setting needed to upload records when some inspections points are omitted.

Custodial Management Inspections

Path: Main Menu > Inspections > Custodial Inspections

WebTMA offers two Custodial modules, Custodial Management and Custodial for Service Providers. Your organization determines which module is best for your circumstances.

Inspections for the Custodial Management module are used to inventory custodial space/item records as well as record cleanliness. During the inspection process, you can update custodial space/item records.

You have the option to change the Area's Inspection Template as well. Once you save the record, the Points related to the new template do not immediately change. After the Area is assigned to a new Inspection, the points reflect the changed template.

How to Use mobileCustodial Management

To see a list of Inspections:

  1. Tap the Refresh
  2. Tap a line in the list of inspections to open the Custodial Inspections
  3. Tap an Area Line to open the Area Detail
  4. Tap the Points Subtab to open the list of points.
  5. Tap a point line to add Rating, Comments, and Inspection Quantity*.
  6. Tap Save.
  7. Repeat steps 5 and 6 until all points are inspected.
  8. Tap Save back through each window to save the full inspection.

* The quantity represents items or square footage (area covered).
