Path: Material > Key Management > Key Rings
Use the Key Rings window to create a record that shows all the keys and the quantity of each that are issued on a key ring.
Most of the fields on this window are completed from other linked records.
Key Rings Identity Tab
Path: Material > Key Management > Key Rings / Identity
By creating Key Rings, you can issue an entire set of keys to key holders rather than issuing each key separately.
Every key ring must have a unique name. This assures that only one key holder has a particular key ring.
Other than naming and describing the ring, and possibly assigning a repair center, the fields and Tabs are disabled. Key assignments and key holder assignments are made from the Key Management / Adjustment window.
Use the read-only Keys Tab on the Key Rings window to see the keys that are on the ring from the Key Management / Adjustments window.
How to Create a Key Ring
To create a key ring from the Key Rings window:
- Click Add on the WebTMA toolbar.
- Type a Key Ring Tag #. This is an alphanumeric field.
- (Optional) Type or select a Repair Center.
- Type a Description of the key ring.
- Click Save on the WebTMA Toolbar to save the record.
When a key ring is assigned to a key holder, the other fields on this window are populated automatically.
Once the key ring record is saved, go to Material > Key Management > Adjustments to add keys to the ring.
How to Add or Remove Keys from a Key Ring
Path: Material > Key Management > Adjustments
Many actions concerning Keys are handled from the Adjustments window (Material > Key Management > Adjustments). Similar to on-hand adjustments in WebTMA, you have the option to select a Code number and complete fields that relate to that code. Use Code 10 to Add Key to Ring, and Code 11 to Remove Key from Ring. See Adjustments on page 5 for more information.
- Click Add on the WebTMA toolbar from the Adjustments
- Select the Code in the Code field on the Adjustment Entry
- Complete the required and elective fields.
- Click the Save button on the Adjustment Entry
- Select the Technician in the underlying window.
- (Optional) Click the Add Key Adjustment link to make other adjustments.
- Click Save on the WebTMA toolbar.
When a Key Ring is ready for storage, you can make these assignments from the Adjustments window using Code 14 (Remove Ring from Cabinet) and Code 15 (Add Ring to Cabinet).
How to Issue or Return Key Rings
Path: Material > Key Management > Adjustments
Many actions concerning Keys are handled from the Adjustments window (Material > Key Management > Adjustments). Similar to on-hand adjustments in WebTMA, you have the option to select a Code number and complete fields that relate to that code. Use Code 12 to Issue Key Ring, and Code 13 to Return Key Ring. See Adjustments on page 5 for more information.
- Click Add on the WebTMA toolbar from the Adjustments
- Select the Code in the Code field on the Adjustment Entry
- Complete the required and elective fields.
- Click the Save button on the Adjustment Entry
- Select the Technician in the underlying window.
- (Optional) Click the Add Key Adjustment link to make other adjustments.
- Click Save on the WebTMA toolbar.
Note the Key Holder Issued button at the far right of the Key Holder line. Click this button after you have selected a Key Holder to see the Key Holder Issued popup window that lists other keys issued to the selected Key Holder.
Ring Access Tab
Path: Material > Key Management > Key Rings / Ring Access Tab
The Ring Access Tab displays a list of areas (by location ID and description) with which each key on the ring is associated. This is a read-only reference Tab that is linked to the Lock window.
Holders Tab
Path: Material > Key Management > Key Rings / Holders Tab
The Previous Holders grid on the Holders Tab shows a record of anyone who is or has ever been a holder of the key ring. The current ring holder is shown on the Key Rings / Identity Tab.
History Tab
Path: Material > Key Management > Key Rings / History Tab
The Transaction History grid on the History Tab displays the transaction type, date, Key #, user, and other user-related information for each action taken regarding this ring including keys added, keys deleted, rings added, rings deleted, rings issued, and rings returned.
