The ContractorHub is an easy method to send job assignments to a Contractor and allow the Contractor to assign the work to their technicians. There is no limit to the number of contractor's technicians because they are not entered in the WebTMA system.
The WebTMA Admin creates a record for the Contract Manager and assigns a Role of Contractor. Login information is sent to the Contractor, which they use to log in to the ContractorHub. When a Contractor is assigned contracted work, they receive an email with a link to the window pictured above.
Using the ContractorHub lets Contractors update their work orders in an intuitive interface, which saves time for both the WebTMA user as well as the Contractor. The interface is optimized for mobile devices, which makes it easy for the Contract Manager and their technicians to manage tasks and update statuses.
Once work orders are sent, Contractors can assess them and assign their technicians to the job.
The window gives Contractors many options for handling the work and the paperwork. These options are described in the following topics.
NOTE: The system has a timeout setting. If Contractors have the window open but do not take any action for a period of time, they may have to log out and log in again. If they attempt to use a window and receive an error message, this is probably the cause.
Contractor Role
Contractor Managers are named and licensed users within ContractorHub. They handle administrative oversight. In this role, they can manage assignments and add Contractor Technicians to whom the manager can delegate tasks and oversee the workflow.
Contractor Technicians are linked to a Contractor's record, but they do not have permanent user roles in WebTMA. These Technicians receive hyperlinks that expire in 24 hours. The links allow them to obtain details about the work, and if allowed, make updates and mark the assignment as complete.
Note that the Admin > User Management > Records / Preferences for a Contractor role gives a WebTMA Administrator the option to grant or deny permissions that apply to the Technicians assigned by the Contractor Manager as illustrated below.
Work Orders Tab
The Work Orders Tab is the first view when Contractor Managers log in to the ContractorHub.
Work Orders Summary Section
The square tiles on the Work Orders Summary section provide an at-a-glance overview of all job categories.
As the number of work orders grow, users can click a tile to sort the list in the lower section of the window, which is the Work Order Tasks section described in the next topic.
Work Order Tasks Section
The Work Order Tasks section shows a list of Contractor jobs. This grid has general information about the assigned work orders.
Move the cursor over the icons in a row to see tooltips with a short description, such as the IP icon illustrated below.
Click the >> double arrows at the end of the header bar to see more details about the Task.
View Work Order Details
Click a link in the WO# column for full information about the job.
Scroll down the window that opens to see full job details.

Action Buttons on Work Orders Tab
When users mark the check box to select a row, the buttons at the upper right of the grid are enabled. Use these buttons to take the following actions:
Update Status
Assign Task (assign more than one tech from this tab only)
Set Arrival time
Add Task Comment
Export to CSV
Print
These buttons open popup windows where users can add or select related information. Here is an example of the Assign Task button that assigns a Task to a Technician.
NOTE: Before using this button, Technicians must be added from the Manage Techs tab.
