Active Tasks Tab for ContractorHub

The Active Tasks tab displays more information about work order tasks assigned to your company and includes additional action buttons.

Active Tasks Tech Filter Section

The Tech Filter section at the top of the page is useful to filter the Active Task List for a single technician’s work when you have several technicians working.

Due Date Breakdown Section

The Due Date Breakdown section gives you a quick view of due and overdue jobs. Like the tiles on the Work Orders Tab, you can click these tiles to sort by category.

Active Task List Section

The list of Tasks includes some of the same options as the list on the Work Orders Tab. For example, you can click the work order number to see the Work Order page.

One difference is the presence of the action buttons on each row. Some of the same buttons are available here as described in Action Buttons on Work Orders Tab; however, the Active Tasks tab has additional buttons as well. See the next topic for descriptions of these tabs and how to use them.

Active Tasks Tab buttons

Some of the buttons at the right of each row are the same as found in Action Buttons on Work Orders Tab.

One exception to the Assign button on this tab is that it can be used to either Assign or Reassign a technician. On the Work Orders Tab, it is only used to Assign a technician.

The extra buttons on this tab are used to process the work as it progresses. The following additional buttons are available on the Active Task List section:

These buttons also invoke popup windows. Since the options are more complex, they are described individually in the following topics.

Documents Action Button

The Documents button is used to Attach Documents, such as instructions, to a Task.

Once attached, you can select View Documents to open a documents page where you can open and read the document.

How to Attach Documents

Note that the file size cannot exceed 10MB.

  1. Click the Documents button to open the Attach Documents popup.
  2. Click the Select File… button
  3. Navigate to the desired file.
  4. Select the Open button.

Your file is listed on the Attach Documents popup, but you have the option to remove it using the red X.

If you wish to attach the file to the task, choose the Upload button.

Post Cost Action Button

When you click the Post Cost action button, the Post Contractor Cost for Task popup window opens.

Not all fields are required; however, the following must be completed.

Item Line Type. Select from the options (Labor, Other, Part)

Date of Work. This defaults to the current date and time. You can change it to reflect actual date and time.

Hours. The number of hours being billed.

Rate/Unit Cost. The cost per hour or item.

Description. This is a brief description of the work or item.

Account. This is a number your client assigns. 

When you click the Save button, the cost is posted.

Finish/Complete Task Action Button

After a job is done, use the Finish/Complete Task action button to indicate the work has been done or not completed.

Generate Technician Login Link Action Button

After you have assigned work to a technician use this button to generate a link that you can give to a technician. The technician sees a page similar to that illustrated in View Work Order Details.

The links are valid for 24 hours; however, if the tech is still assigned to the work, a new link is generated and sent when they attempt to log in using an expired URL. As long as they are assigned to the work, they can log in.

How to Generate Technician Login Link

Reminder: You must assign a technician before you can generate a link.

  1. Select the Generate Technician Login Link button.
  2. Choose the desired Technician name.
  3. Click the Generate button and the following popup opens.

  1. Click the Copy ContractorHub_TechLoginCopyBtn.png button beside with the option to copy the link.

When the Link Copied message appears, use the keyboard shortcut Ctrl+V to paste it in an email to the technician.

When technicians receive a link, a copy of the work order task shows up on whatever device they use - computer, tablet, or phone.

Send Link Option

When you click the Send Link option, an email is automatically sent to the technician with the link.
