Device Types

Use the Device Types Lookups window to establish risk levels for Equipment and Biomed Equipment.

WebTMA provides a Default Risk Formula that is designed specifically for Biomed Equipment; however, you can create other formulas for different types of Equipment. Create the formulas using Lookups > Risk Factor Formulas.

Based on the formula, the system calculates an EM # that is used to determine the Risk Level displayed on the Equipment and Biomed Equipment records. The calculated EM # applies to all items in the category.

On the Device Types window, select the desired Risk Formula, and click the down arrows in each field to make adjustments as needed for the Device Type. As you adjust each field, the EM # is recalculated. WebTMA compares the EM # to the range described to determine the Risk Level.

If a Biomed device is subject to The Joint Commission standards for hospital equipment maintenance, the Default formula meets these standards.

Select the Apply Risk Level Action Menu link to apply the calculated Risk Level to all records of this Device Type.

The Usage Rates Section includes a simple Flat Rate charge for the Device Type when a Device of that Type is designated on a Work Order. Enter fees here that are available when entering Other Charges on the Work Order.

Risk Assessment Equation

The following discussion uses the Default formula as an example of a rigorous formula. The Default formula follows The Joint Commission rules applicable to healthcare organizations. If the Device Type is not subject to The Joint Commission standards, you may prefer to use a different formula for a particular Device Type. Individual Equipment items can also be "fine-tuned" from the item records.

When you select the Default formula, WebTMA adds five categories that can be adjusted. Select the ratings for each category to calculate a Risk Level for this type of Equipment. Values are assigned to the following categories:

  • Equipment Function (E)
  • Equipment Application (A)
  • Maintenance Requirement (P)
  • Likelihood of Failure (F)
  • Environmental Use (U)

As you select the level for each factor, WebTMA makes the calculation automatically. The final EM #, based on the Default equation E + A + [(P + F + U) / 3)], is used to determine the Risk Level. The Risk Assessment Values Table below shows the range of EM # scores, the related Risk Level, and the inventory classifications.

The Risk Level number cannot be edited manually, but it can be recalculated as conditions change. This assures that the level is calculated in accordance with new standards.

The score can be changed for specific items if the user has sufficient authorization. The process to change individual records is found in the Equipment topic Risk Level Calculations.

Rates Tab

If you use the additional Events, Facilities Scheduler, or Fleet Management modules, a Rates Tab is available to enter values.

Settings on this Tab do not transfer automatically to a new Biomed Device record. Note that the Rentable check box must be marked on both the Device Types Rate Tab as well as the individual Biomed Rate Tab to be eligible for rent.

If the Rentable check box is clear on the Type record, no Devices of that Type are eligible for rental, regardless of data added to the individual Biomed Rates Tab.
