Many Tabs on the Building window are common to other modules.
Contractor
Use the Contractors Tab to associate Contractors who perform work with a record.
How to Add a Contractor to a Record
- Select the Contractor Tab.
- Choose Edit on the WebTMA toolbar.
- Select the Add Contractor link at the top of the grid.
- Choose the Task Type on the Contractor Entry flyout.
- Mark the desired check box(es).
- Choose the Add Selected button.
- Select Save on the WebTMA toolbar.
PMs
The PMs Tab (Preventive Maintenance) contains a list of all PM Tasks assigned to a record. PMs can be assigned from either the Task window (Organization > Task > PMs Tab) or from the PMs Tab for any maintenance-worthy item including Group records. When you edit the PM Schedule Entry flyout, the changes are reflected on both the Task record and item record. See Preventive Maintenance for complete information about the PM functions.
Sub Assemblies
The Sub Assemblies Tab shows a tree list of component parts, pieces, or sites associated with a larger item. When the larger item is selected as a Parent Tag # on a component part, the ‘child’ record number displays on the Sub Assemblies Tab of the ‘parent’ record. You can open a child record by selecting a link in the Hierarchy Tree.
NOTE: The Sub Assemblies Tabs for the Vehicle and Biomed windows show not only items of the same Type, but items for all Types that are attached to the record.
Total View
Use the Total View Tab to get an overview of the entire hierarchy for the record.
Depending on your assigned data access levels, you can see and zoom to records related to these location levels.
- Select the Item Type on the window to display lists of the locations and items related to the selected location.
- Choose a line item to open the related record.
Utility Billing
If you use the optional Utility module, use this Tab to add information about billing for utility services to the Building.
Cost
The Cost Tab on the Building window displays the accumulated costs, both current and historical, relating to the record. This is a read-only Tab. Charges accumulate on this window as they are incurred. The values are not dependent on posting charges.
The # of Work Orders column on this Tab includes child work orders that reference the Building, the system does not verify whether the Work Order was for the Building itself. This can result in a larger value in the # of Work Orders column compared to a WO Query based on a Building name.
The costs are based on transaction dates associated with Part/Labor/Contractor/Other not on Request Date or Work Order Creation Date.
The Year-to-Date values are for your fiscal year and are based on your Fiscal year setting in Admin > Client Info / Preferences. If you have not set a Fiscal year, the default is a calendar year.
Capital Planning
If you have the optional Capital Planning module, use this Tab to update your Capital Planning records.
Rates
The Rates Tab on an item window is used to record fees that are charged for use of an item. If present, the Usage Rates Section includes a simple Usage Flat Rate charge for the item Type when items of that Type are used on a Work Order. Fees entered in Usage Rates are available when adding Post Test Item charges on the Work Order.
If you use the additional Events, Facilities Scheduler, or Fleet Management modules, a more detailed Rental Rates Section is available to enter values. This Section is independent from the Usage Rates Section.
Any settings from item Types records do not transfer to a new item record; however, the Rentable check box must be marked on both the item Types Rate Tab as well as the individual item Rate Tab to be eligible for rent.
If the Rentable check box is clear on the Type record, no item of that Type is eligible for rental, regardless of data added to the individual item Rates Tab.
Work Orders
The Work Orders Tab is a read-only window used to review open or closed Work Orders that pertain to the specific record. Sections on this window labeled Open Work Orders and Closed Work Orders filter the Work Orders for you.
For a quick description of the Work Order, expand a line to see details about the Task and Trade on the Work Order. Choose the Work Order number to open the Work Order record in a separate browser tab.
NOTE: Although new Work Orders created in WebTMA 7 only allow one Trade per Task, data converted from WebTMA v. 5.x may have multiple Trades for some Tasks. The following statement applies only to converted data: Any converted records display all Trades previously assigned to a Task. These are separated by a comma. The Trades are found in the Trade column on the Work Order Task grid.
Inspection Findings
If you use the optional Inspection Findings module, which is part of Capital Planning, a read-only Inspection Findings Tab is present on certain windows. It lists the related Inspection Findings records and includes an active link to each Inspection Finding Request #.
The Inspection Findings Tab is found on the following windows: Areas, Asset, Building, Entity, Equipment, Facilities, Floors, Group, Project, Tools, and Vehicle.
