Use the Scheduler window to review, assign, or reassign Work Orders to Technicians or Crews for both current and future work. By default, the window opens in Grid View with a default Time Frame of This Month. Work scheduled for the month displays in the grid below.
About the Scheduler Window
The window has two display types: Grid View (the default) and Calendar View. The two options use the same query criteria. Select the Switch to Calendar View button to view currently assigned work on a calendar by Day, Week, Month, or Today. The default Month option displays a Gantt view.
Fields in the Quick Filter Section at the top of the window are used to design a search by one or a combination of Technician, Trade, Repair Center, and other criteria. Note that the Start Date and End Date fields are enabled only in the Grid View.
Select the Open Scheduler link on the Action Menu to open the Schedule Entry flyout. This displays available Work Orders and Technician/Crews.
If your organization has the optional GIS module, you have the opportunity to schedule work based on location to reduce travel time.
In Calendar View, the Export Selected and Export All buttons are used when you want to export some or all of the calendar entries to your Outlook Calendar or post them to a public or shared page.
The window also displays indirect labor times for meetings, training, etc.
Quick Filter Shift Exception
The Shift filter does not check the Shift associated with the Technician. It looks for the Shift that is saved with the Work Order Schedule. While the Work Order / Schedule Tab requires a Shift, Work Orders created from other places like mobile devices, Auto Attendant, Auto Schedule, and Auto Assign do not. Therefore, when Scheduler is filtered by Shift, not all Work Orders will be included in the results, only those where the Work Order Schedule includes a Shift.
Grid View
The default Grid View displays a list of scheduled work for the selected Start Date and End Date range. In this view, the two date fields are enabled.
As with other windows, you can use fields in the Quick Filter section to reduce the size of the list. Lines appear in order by date, but you can choose the heading of any column to sort.

Calendar View
Regardless of whether you select Day, Week, or Month, the existing assignments display on the days assigned.
Move the cursor over a color block to see a popup with details about individual assignments including Work Order number, Task, and Technician.
You can click-and-drag an assignment to a different time or date when needed. If you move work, be sure to select Save on the toolbar.
About Dates in Schedule
The Start Date and End Date fields in the Quick Filter Section are read-only in Calendar View. In this view, date selection and display of date ranges is controlled using buttons immediately above the calendar. These buttons allow you to view by Day, Week, Month, or Timeline. In addition, you can click the arrow buttons next to the Today button at the left end of the button section to move forward or backward in either the Calendar or Timeline view. The arrows also correspond to the selection of Day, Week, or Month, i.e., if Month is selected, one click of the arrow takes you to the next or previous month. The same applies to day or week selections.
When you switch from Grid View to Calendar View, the Start Date and End Date fields reflect the Calendar View rules, i.e., the full month designated by the Start Date. If you return to Grid View, the Start Date and End Date fields retain these dates from the Calendar View.
How to Schedule Work
Choose the Open Scheduler link on the Action Menu to open the Schedule Entry flyout window. A list of unassigned Work Orders displays in the upper grid, and a list of Technicians displays at the lower left. If you use the GIS module, a map shows the location of selected Work Orders.
- Enter the Date, Shift, and Trade in fields at the top of the window. These are required.
- Mark a Work Order check box in the upper pane.
- Mark a Technician check box in the lower left pane.
- Choose the Save button at the bottom of the flyout.
- Select Save on the WebTMA toolbar.
WebTMA reviews whether the Technician is available for the scheduled date (either direct or indirect assignment). A message alerts you if the shift time is exceeded; however, it does not prevent you from scheduling the Technician to the selected date / time.
When the Schedule Entry flyout window closes, your assignment displays on the Scheduler window.
