Repair Center Records Auto Attend Tab - WebTMA 7

The Auto Attend Tab is part of the optional Auto Attendant module and applies to automatic conversion of a Request to a Work Order. The settings made on this Tab are used to determine when WebTMA automatically converts a Request to a Work Order.

Note: WebTMA can only create a Work Order for the Repair Center if a WO Type is entered on the Repair Center / Identity – General Information Section.

Auto Attend Details

If you mark the Auto Attend Entry flyout as Use Time Based, only work submitted between the times shown in the Start Time and End Time fields causes a Work Order to auto-generate. For example, if some Technicians are scheduled to work during hours outside of normal operation, the Requests can be converted to a Work Order automatically. On the other hand, if those same Requests are submitted during regular working hours, the Requests follow the regular approval process and must be converted manually.

To print converted Requests, mark the Auto Print check box. This is applicable if you have designated a name in the Auto Print Userfield of the Identity–Preference Section. The Auto Print User field entry provides the system with information about the time zone applied to the conversion.

The Override Authorization check box on the Auto Attend Entry flyout is exclusive to the Approval Routing module. Mark the check box if you want the Requests to bypass the authorization process. If the check box is marked, WebTMA converts the Request directly to a Work Order without routing it for approval.

How to Set Up Automatic Request Conversion

To convert all Requests for the Repair Center automatically, follow these steps.

  1. Go to the Auto Attend Tab of the desired Repair Center.
  2. Choose Edit on the WebTMA toolbar.
  3. Select the Add Rule link to open the Auto Attend Entry flyout.
  4. Choose the Default Priority for the Work Order.
  5. Select the Default Task code.
  6. Choose the Save button on the flyout.
  7. Select Save on the WebTMA A toolbar.

How to Limit Request Conversions to Specific Times

Follow steps 1-5 in How to Set Up Automatic Request Conversion.

  1. Check the Use Time Based box.
  2. Select the Start Time and End Time.
  3. Choose the Save button on the flyout.
  4. Select Save on the WebTMA toolbar.

How to Auto Print Conversions

If you want to use automatic print:

  1. Select a name in the Auto Print User field (Repair Center / Identity Tab–Preferences Section).
  2. Follow steps 1-5 in How to Set Up Automatic Request Conversion.
  3. Check the Auto Print box.
  4. Choose the Save button on the flyout.
  5. Select Save on the WebTMA toolbar.
