Any Requests can be auto-converted as long as the selected Task qualifies for conversion and meets all other requirements.
Auto-Conversion Eligibility
To be eligible for auto-conversion, the following conditions must be met. The requirements are:
- Request includes a location or item number
- Request includes a Repair Center
- Repair Center record has WO Type designated
- Request includes Task code *
- The auto-convert rule matches the Repair Center conversion rules at the time the Request is saved in the database
The last condition in the preceding list means that rule-matching is based on the Request 'creation date' not the 'Request date.'
If any of the conditions are not met, the Request is not processed and must be manually converted.
WebTMA does not test for overlapping matches. If more than one rule matches, the first rule, as determined by the creation date, is applied.
If the Override Authorization check box on the Repair Center / Auto Attend Entry flyout is NOT marked when approval is required for the Request, the Request will not be auto-converted.
Depending on your Client Info / Preferences settings, creating a Work Order without assigning a Trade is allowed. This is true if you have not granted Force a Trade for Each Task; however, this setting is ignored for Auto-Conversion even when the Preference is granted. This applies only to Auto-Conversion. Manually created Work Orders require a Trade if the Preference is granted.
Once you have made the settings in the Repair Center and Task records, any Requests that meet all the criteria will be converted to a Work Order automatically.
* If the Request does not include a Task Code, it is possible for the Request to be auto-converted if the Repair Center / Auto Attend Tab includes a default Task.
Default Priority for Auto Attendant
WebTMA first looks to the designated Task when a Request includes a Task Code. If the Task record Default Priority field is populated, the priority for the Task is used.
If the Task does not include a Default Priority or if the Request does not include a Task, WebTMA uses the Priority on the Repair Center record, if present.
